AAR Japan was founded in 1979 by Yukika SOHMA, our first chairperson, with a mission to help refugees from Indochina, and as a civil organization without any political, religious, or ideological affiliations. It has since then grown into an international organization approved and registered by the United Nations.
Job Responsibilities
• Responsible for the Office procurement planning, implementation and follow up in line with AAR Japan Mission procurement planning and AAR Japan Procurement policies and procedures
• Ensure logistical arrangements of staff travel (flight, accommodation and transportation etc.)
• Training of drivers on safe driving and movement guidelines, repeating such trainings on a regular basis (at least twice a year and in case of a complaint with a driver earlier and more often), collecting info on and monitoring the performance of each driver
• Ensure the Office procurement practice to be applied in line with AAR Japan Procurement policies and procedures
• Ensure up to date filing of originally signed documents regarding procurement, logistics, car rental contract and movements, and documents of any other Logistic/ Procurement processes
• Ensure the Asset Management processes are applied in line with AAR Japan policies and procedures such as regular physical asset counts and asset list updates, labelling of them, use of asset handover/disposal forms, etc.
• Management of Office stocks and preparing reports and lists for them
• Ensure management of fleet to be done in line with relevant policies and ensure movement planning for efficient use of vehicles
Skills and Requirements
Bachelor degree with the related studies
At least 3 years professional experience in a relevant area of work with at least one year procurment experience
Ability to use a computer and Microsoft office software’s, especially maintaining basic formula and functions
Full proficiency in English and Romanian, Russian is an asset
Experience/ability to write/review clear reports with very few mistakes
Ability to communication in a positive and diplomatic way.
Ability to work collaboratively with colleagues
Excellent personal organizational skills, including time management, and ability to meet deadlines and work under pressure
Willingness to travel and work in difficult environment
