Welcome Assistant (For Philippines Nationals Only)

The Welcome Assistant helps ensure that Welcome activities are organized smoothly, including coordination of pick-up/drop-off of ICRC staff and guests, travel arrangements, official registration, and accommodation.

MAIN RESPONSIBILITIES

  • Ensures complete documentation and timely processing of invoices from the suppliers/service providers.
  • Assists the Welcome department in all administrative activities.
  • Assists in organizing pick-up and accommodation (hotel, apartment, house) for staff and guests.
  • Helps organize staff travel (plane, taxi, etc.) by the most effective costs/mean and, if required, coordinates drop-off at / pick-up from airports, stations, etc.
  • Assists in the organization of communication flow between ICRC sub-delegations and main delegation regarding staff travel.
  • Assists the Welcome Team in keeping all the appropriate databases up to date on staff members, missions, and other travel, document validity, residences, and any other relevant information (schools, airlines, telephone numbers, etc.).
  • Assists in organizing the Welcome files, business cards, briefing programs, and tours of the delegation for new arrivals.

REQUIRED PROFILE

  • Bachelor’s Degree in Tourism or International Studies or equivalent studies
  • At least 2 years experience working with a travel agency or embassy or international organization
  • Excellent verbal and written communication in English and Filipino
  • Computer Literacy (Word, Excel, Powerpoint)
  • Planning, Organizational skills
