JOB DESCRIPTION/SCOPE OF WORK

Position Title: Warehousing and Distribution Analytics Senior Manager

Location: Abuja

The Warehousing and Distribution (W&D) Analytics Senior Manager is responsible for the daily generation of accurate technical and financial logistics information related to the GHSC-PSM and Global Fund Nigeria projects. S/he will oversee a cross-functional team of technical and operations staff who are primarily responsible for data entry and routine analysis. The Senior Manager will ensure the cross-functional team is inputting accurate information into the Situation 3PL Database and that such information is entered on time and in line with relevant work instructions and processes. The Senior Manager ensures all logistics orders communicated to 3PL vendors are captured and tracked in the database. The Senior Manager will also provide verbal and written high-level analysis of all technical and financial information captured in the database on a routine basis to several stakeholders, including the field-based Senior and Executive management teams, as well as the home office-based project management units (PMUs) and other senior leadership as needed. Additionally, the Senior Manager will work closely with the Finance Reporting and Analysis (FR&A) team to provide logistics-related financial and technical information to clients upon request. S/he will customize all financial reporting dashboards in the database to fit the reporting requirements of clients and other stakeholders.

The Senior Manager assumes ownership over all information in the database and reporting dashboards. S/he oversees data quality checks, enforces data validation processes, and creates new ways to validate data as needed. The Senior Manager positions the Warehousing and Distribution Analytics unit as the primary source of technical and financial logistics information and sustains this reputation through continually improving the ways in which such information is captured and reported.

Responsibilities include:

• Capture all logistics and financial data related to warehousing, distribution, and NiSRN, and other logistics data as needed; oversee the transfer of this data into the W&D Analytics database
• Oversee and conduct data validation checks using appropriate tools and methodology; identify and resolve errors daily
• Create and tweak reporting dashboards to align financial and technical reporting with client needs and preferences; solicit the input of technical teams and senior leadership to validate the utility of current reporting dashboards
• Leverage IT solutions and digital visual aid tools to transform raw logistics and financial data into comprehensible data sets that facilitate senior leadership decision-making processes
• Map current work processes and create additional processes as needed to streamline workflows within the W&D Analytics unit
• Synchronize W&D Analytics data with GHSC-PSM Nigeria Data warehouse
• Manage W&D Analytics staff; assess performance and mobilize resources to respond to client and other stakeholder requests
• Represent the W&D Analytics unit during meetings with senior leadership and the PMUs as needed
• Synchronize W&D Analytics workflows with the internal Order Management System workflows; ensuring seamless data flows into the W&D Analytics dashboard
• Preempt possible duplication of efforts between W&D Analytics and the Order Management System by coordinating efforts with the deployment team; support the build-out of the system as needed and adjust W&D Analytics processes accordingly
• Lead W&D Analytics responses to requests for information from a range of internal stakeholders; ensure W&D Analytics data is updated daily.
• Provide support and guidance to invoice review team on allocation of costs by donor and programs.
• Analyze estimates generated from Commodity Ordering Management System (COMS) and update all orders in Situation Room Database with estimates.
• Ensure all invoices updated in Database have existing orders per row.
• Share situation room weekly update with Chief Finance Advisor
• Provide general overview of logistics data/status and cost associated to it.

Job Qualifications

BA/B.Sc. Accounting, health related or supply chain management

Minimum of 7 years of experience in Accounting, Public Health, Management

Information Systems, Supply Chain Management

Ability to effectively communicate, provide mentorship and lead cross-functional team

Strong numerical /analytics skills

Ability to write clear and concise reports and make high level presentations is required

Ability to use Microsoft office suite packages (excel, word, power point). Advance Excel capabilities will be an advantage

Strong organizational skills with the ability to multitask, excellent interpersonal skills

Experience with programs supported by bilateral agencies such as USAID and international agencies such as the Global Fund is desirable

Supervision

The Warehousing and Distribution Analytics Senior Manager will report to the Director of Supply Chain Financial Management and Reporting or designee.

Working Conditions/Duration of Assignment

This is a long-term position for the life of the contract based in Abuja, Nigeria.
