Classification : Professional Staff, Grade P2

Type of Appointment : Fixed term, one year with possibility of extension

Context:

Under the overall supervision of the Chief of Mission (CoM) and under the guidance and direct supervision of the Procurement and Logistics Officer, the Warehouse Officer will be responsible for organizing warehousing activities including: space planning and allocation, documentation management and reporting, daily management of staff and overall logistics support to the operations.

Core Functions / Responsibilities:

1. Ensure all warehousing transactions are done in line to the International Organization for Migration (IOM) internal guidelines and in close coordination with Supply Chan Officer.

2. Coordinate with relevant offices, units and projects in receiving, storing, packing, kitting, labelling and dispatch of goods from/to the warehouse.

3. Coordinate with suppliers and transport service providers on receipt and distribution of goods at the warehouse.

4. Plan and organize efficient and safe storing of goods at the warehouse, according to available space and requirements.

5. Ensure that all goods are properly stored and timely registered into the warehouse inventory data base.

6. Monitor the budgetary aspects related to warehouse and stored goods.

7. Maintain records of all transactions, ensuring that an efficient filing system for stock records of all documents are kept.

8. Train and supervise warehousing staff, checking that staff conduct their job in line to established procedures.

9. When necessary, travel to field locations and provide training to other logistics staff to help increase their knowledge and capacity, checking that logistics activities are conducted in line to rules and regulations.

10. Research and recommend new warehousing facilities, in line to demand of the operations.

11. Keep records and analyze warehouse running costs to facilitate efficient and effective warehouse operations.

12. Draft regular reports for logistics activities.

13. At the request of the Line Manager or CoM, participate in staff development and training processes.

14. Act with integrity and professionalism and in accordance with IOM’s Code of Conduct, at all times.

15. Perform such other duties as may be assigned.

Required Qualifications and Experience:

Education

• Master’s degree in Business Administration, Supply Chain Management, Logistics, Procurement, or a related field from an accredited academic institution with two years of relevant professional experience; or,

• University degree in the above fields with four years of relevant professional experience.

Experience

• Experience in coordinating and supervising diverse procurement and logistics operations;

• Experience in large scale warehouse management both in emergency and development context backgrounds.

• Experience in training and supervising teams, and collaborating with vendors and suppliers.

Skills

• Extensive knowledge of IOM/UN internal procurement and financial rules, as well as IOM’s system and processes as they apply to procurement and logistics; and,

• Excellent level of computer literacy and good knowledge of SAP is an advantage.

• Effectively applies specialized knowledge of logistics, asset and stock inventory management.

• Effectively works with vendors and service providers in compliance with IOM procedures to secure cost-effective quality solutions for IOM

Proficient in SAP and computer application.

Languages

IOM’s official languages are English, French, and Spanish.

External applicants for all positions in the Professional category are required to be proficient in English and have at least a working knowledge of one additional UN Language (French, Spanish, Arabic, Russian or Chinese).

For all applicants, fluency in English is required (oral and written). Fluency in Ukraine and/or

Russian is an advantage.

Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.

Internationally recruited professional staff are required to be mobile.
