PSI seeks a Warehouse and Fleet Manager to join our team for the USAID-funded Countywide Sanitation Activity. The project aims to achieve universal coverage of basic sanitation in five counties of Liberia. This ambitious project seeks equally ambitious staff who bring creativity, energy, and an entrepreneurial spirit to their work.

The Warehouse and Fleet Manager will be responsible for overseeing the day-to-day operations of the PSI/Liberia warehouse and will ensure adherence to PSI’s policies and procedures**.** A successful applicant will be able to lead well-coordinated and highly effective warehouse activities; ensure high levels of workplace health and safety; accurately enter and update data in the relevant systems; and produce monthly reports on time.

Your contribution

Warehouse Management:

  • Oversee efficient receipt, storage, and dispatch of PSI/Liberia commodities;
  • Maintain stock levels as required;
  • Process all orders and approve in line with PSI policies and procedures;
  • Maintain PSI’s health and safety requirements at the warehouse;
  • Maintain cleanliness and security of the warehouse and stock;
  • Update warehouse records and system and submit accurate and timely reports of all warehouse activities as required;
  • Liaise with customers and transport companies to ensure timely delivery and collection of goods;
  • Monitor warehouse capacity and plan for efficient delivery, storage, and dispatch of orders in line with capacity requirements;
  • Monitor inventory levels by conducting physical counts and reconciling with data storage system;
  • Respond to internal and external customer enquiries as they relate to the warehouse;
  • Prepare warehouse work-plans in line with expected workload;
  • Maintain and promote high standards of customer service; and
  • Ensure optimal performance of the warehouse team.

Fleet Management:

  • Plan, organize, and direct the work of the section to meet objectives with the most efficient use of personnel, facilities, and equipment including vehicles;
  • Plan and organize for transfer of PSI/Liberia staff, partners, visitors, and commodities from one point to another in line with organizational policies and procedures;
  • Oversee the Fleet Management systems including the GPS system;
  • Coordinate the movement of PSI Liberia’s motorcycles and all vehicles;
  • Develop and implement vehicle policies and procedures that will ensure efficient utilization;
  • Ensure all vehicles are kept well insured;
  • Monitor fleet operations to ensure compliance to PSI administrative policies and procedures, safety rules, and government regulations;
  • Submit regular fleet reports to the HR Manager and Finance Director including break downs, accidents, fuel usage, vehicle running cost, vehicle usage, and driver performance;
  • Implement a preventive maintenance program to minimize cost and maximize use of vehicles;
  • Prepare and manage a fleet maintenance budget and oversee vehicle maintenance and repair;
  • Prepare and direct driver training programs for newly employed drivers as well as regular training for all the drivers;
  • Ensure fuel efficiency and low vehicle downtime and prepare short and long term plans for vehicle replacement;
  • Prepare periodic cost analysis, management and operational reports;
  • Implement the PSI Liberia Safety and Security Management plan in liaison with the PSI Washington Safety and Security Management Team (SSEMT);
  • Submit security and risk reports to the Incident Management Team;
  • Enforce compliance with security and safety procedures and liaise with law enforcement agencies over criminal and other security concerns;
  • Ensure staff receive the correct safety and security training relevant to their roles and expected exposure to different risks;

What are we looking for?

The basics

  • Bachelor’s Degree in Purchasing and Supplies or Business Administration
  • At least 4 years’ experience managing a busy warehouse
  • At least 6 years’ experience in in fleet management
  • Driving license with at least 6 years’ driving experience
  • Accuracy and attention to detail
  • Good customer service skills.
  • Good supervisory skills
  • Strong planning and organization skills;
  • Good communication and interpersonal skills
  • Must have work authorization for Liberia, PSI will not sponsor work permits.
