Volunteer Coordinator

Job Overview:

The Volunteer Coordinator will oversee the IRC in San Diego’s existing volunteer and internship programs, including recruiting, screening, orienting, and assisting with placement of individual, long-term volunteers and interns for all programs. In addition, there will be opportunities to evaluate and strengthen recruitment strategy, onboarding processes, and staff capacity to successfully manage and retain volunteers and interns.

Major Responsibilities:

Volunteer Recruitment & Management:

  • Recruit, screen, orient, and match individuals and groups for volunteer and intern placements through diverse strategies and developing university, faith-based and other community organization partnerships; with appropriate service opportunities in line with IRC national volunteer guidelines;
  • Responsible for developing and running effective programs for volunteer support of core IRC programs by collaborating with direct service staff and offering logistical support in alignment with IRC program objectives;
  • In conjunction with the Development & Communications Manager, set and meet annual goals for growing IRC San Diego’s recruitment and placement of volunteers and interns;
  • Collaborate with staff to craft and maintain accurate, up-to-date service descriptions for all volunteer & internship opportunities;
  • Present on-boarding orientations and complete administrative needs for all new recruits;
  • Maintain volunteer and internship programs that engages high-value volunteers and interns, particularly specialized/skilled volunteers and volunteers who take on leadership roles in the organization;
  • Maintain business partnerships that provide employee-volunteer support for IRC in San Diego;
  • Recruit and train community members and college students or recent graduates as volunteers and interns who support the infrastructure of programs;
  • Track volunteer program and infrastructure development;
  • Serve side-by-side with volunteers and interns to provide guidance, to better understand the clients’ needs, and to improve the volunteer and intern experience;
  • Work with staff and volunteers/interns to ensure volunteer/intern hours are updated regularly in Salesforce database;
  • As requested, provide timely and accurate volunteer hours and mileage to Finance and others in IRC Leadership for inclusion in financial reporting and funding proposals;
  • Positively represent IRC in San Diego in a variety of settings, including recruitment opportunities, staff meetings, trainings, and service events;
  • Plan events, such as the annual Volunteer Appreciation event;
  • Create and maintain positive relationships with program staff;
  • Participate in all agency meetings and trainings;
  • Follow all IRC’s policies and procedures;
  • Other related duties as assigned.

Staff Support:

  • Work in tandem with the Program Managers/Coordinators to identify needs and develop intern and volunteer recruitment plans to support achievement of program goals. This includes but is not limited to: Reception and Placement, Economic Empowerment and Match Grant, Immigration, Anti-Trafficking, and Youth programs;
  • Train and support staff to work effectively as volunteer managers and interact cooperatively with volunteers;
  • Collaborate effectively with the Development and Communications Manager and other staff to provide input on all Community Engagement efforts;
  • Participate in IRC Communities of Practice and other networking and professional development opportunities, including monthly Volunteer Coordinator meeting, in the network.
  • Other related duties as assigned.

Job Requirements:

  • Undergraduate degree or equivalent years of related work experience;
  • At least one year of professional experience working with volunteers and interns;
  • Must be able to adapt to change in work environment and be flexible;
  • Effectively manage multiple tasks and competing demands;
  • Strong organizational skills;
  • Work cooperatively in group situations and work actively to resolve conflicts, and work well with others on a team;
  • Strong written and verbal communication skills in English;
  • Very strong office and computer skills;
  • Ability to work in a low-literacy, multi-cultural and multi-lingual work environment;
  • Ability to efficiently work independently as well as in a close, collaborative environment.

Working Environment:

  • Standard, professional office environment;
  • Some travel to off-site locations is required;
  • Offices hours are scheduled as Monday-Friday, 8:30am-5pm with some occasional nights/weekends.
  • Access to a reliable vehicle to travel regularly throughout the service delivery area.
