We are looking for someone who can assist the trustees and core team in developing better systems for recording, maintaining and updating all its key documentation and so managing matters of governance and compliance.

About Peace Partners

Peace Partners is a small and dynamic volunteer-led charity that aims to bring together and work with individuals, groups and organisations who share our vision of a world where all people have access to sufficient clean water, nutritious food and personal peace. We support global humanitarian programmes primarily through our partner the Prem Rawat Foundation (TPRF) and its Food for People programmes. Our flagship project in the UK is the advocacy and support of TPRF’s licenced and facilitated Peace Education Programme. This is a non-religious, non-political and non-sectarian, innovative course that has been adopted in over 80 countries which aims to help people discover their own inner strength and personal peace. The workshops have proven effective in a variety of settings including community centres, youth groups, schools, adult education programs, veterans’ groups, healthcare settings, senior centres, homeless shelters, drug rehabilitation facilities, and correctional facilities.

What will you be doing?

Working with our core team of volunteers and trustees to

  • Book meetings, send invitations and deal with administration relating to meetings of trustees and the core team
  • Manage Peace Partners Zoom account and train/support other volunteers in its use
  • Ensure all trustee meetings are properly minuted – either by yourself or by delegating if necessary – and that those minutes are circulated, approved or amended, filed and accessible as required
  • Ensure that actions arising from other meetings (i.e. core team and wider volunteer team meetings) of the charity are recorded, shared, filled and accessible as required
  • Create and maintain up to date filing systems, accessible to appropriate personnel, for all policies, protocols and other documentation relating to governance and compliance matters and ensure that policies etc are reviewed in a timely fashion
  • Update relevant information and documentation to Charity Commission website as required
  • Initiate and maintain other records pertaining to governance and compliance matters as required

  • Office and Administration Management skills
  • Enjoy working as part of a team
  • Available to attend monthly meetings
  • A good communicator
  • At least 3 hours a week available to dedicate to this role
  • Well organised
  • Confident and willing to take responsibility
  • A good basic understanding of GDPR (data protection legislation) and confidentiality issues relating to the management of personal data and documents
  • Comfortable and competent (or willing to learn) using technology for long distance working including Googledocs, spread sheets, Zoom, Slack, Trello
  • Reliable and able to commit to this role (minimum 1 year)
