SECTION 2
Organizational Context and Scope
Under the overall supervision of the Chief of Mission, Chief Migration Health Officer and the direct supervision of the Migration Health Data Reporting Officer, the incumbent will be based in San Salvador and will have the following duties to support the required routine tasks in connection with the health assessment and pre-departure medical procedures to ensure that identified refugees are medically fit to migrate in accordance with the medical/health requirements of the United States of America.
SECTION 3
Responsibilities and Accountabilities
The Medical Assistant provides information, relevant to Health Assessment Programs, Applicant processing and other IOM services to the migrants.
1. Assign medical services and organize medical schedule appointments with the Panel Sites for USRAP cases.
2. Assist the IOM Physicians by flagging the cases with medical conditions from MIMOSA before the pre-departure medical procedures.
3. Track all refugees undergoing Tuberculosis screening (sputum smears and cultures) and Tuberculosis treatment. This includes tracking the follow up sputum examination, chest X- ray and follow up physician examination.
4. Undertake quality checks of all completed medical files in MiMOSA IAP from non-IOM Panel Physicians and flag the QC issues to IOM Physicians/Migration Health Data Reporting Officer.
5. Provide assistance to Panel Sites for any issues with the MIMOSA system..
6. Review systematically the Vaccination Report, validate in coordination with the clinic the doses administered and flag any issues to direct supervisor. Coordinate appointments for applications of missing vaccines.
7. Ensure that every follow up action requested by the Chief Migration Health Officer, Migration Health Reporting Officer and Senior Medical Assistant is carried out in a timely manner.
8. Develop tracking mechanisms and Reports for various cases and case scenarios in MiMOSA and Excel.
10. Assist in the communication process between Panel sites, specialists, laboratories and RSC related to medical examination, pre departure specialist evaluation and pre-embarkation checks.
11. Provide statistics to Senior Medical Assistant/Migration Health Data Reporting Officer regularly and as required.
12. Provide timely input to the supervisor for updating the SOPs.
13. Ensure security, order, and confidentiality of all interactions as part of the collaborative relationship with applicants, partners and health professionals.
14. Schedule the Pre-Embarkation Check in coordination with Operations staff and the clinics and provide support as required for the good development of the activity.
15. Any other tasks assigned by supervisors.
SECTION 4
Required Qualifications and Experience
EDUCATION
- University Degree with at least three years of relevant working experience.
- University degree Social Science or Health major (is an asset)
OR
- Secondary School Diploma with at least five years of relevant working experience.
- Certificate in IT/Data entry is an advantage.
EXPERIENCE
- Experience in computer data entry, elaboration and analysis or in a call centre in a busy institution, preferably a medical one.
- Knowledge of data management principles.
- Knowledge of customer care.
- High computer literacy in Windows and MS Office is mandatory, knowledge of web page design would be an asset.
- Knowledge of medical terminology, as well as previous secretarial and archival experience, an added advantage; and,
- Previous working experience with NGOs or international organizations is an added advantage.
SKILLS
- Fluency in English; able to write e-mails and reports coherently in a timely manner
- Attention to detail and ability to organize
- At least an intermediate level of MS office skills;
- Analytical skills;
- Strong interpersonal and communication skills
- Demonstrated ability to maintain accuracy and confidentiality in performing responsibilities
