DESCRIPTION
Under the supervision of the Operations Manager, The Training Assistant:
- ensures the organization and delivery of daily, weekly, annual activities of the company
- manages the LMS platform
- works on courses schedules and training timetables
- produces training and promotional materials
- handles all incoming customer and OSC consultants’ queries and questions
- performs office clerical duties related to trainings and operations activities

MAIN TASKS
1/ Training management
The Training Assistant is responsible for:
- Scheduling national and international travel arrangements for consultants
- Booking accommodation and lodging arrangement for clients and consultants
- Booking trainings sites
- Scheduling conference and training rooms
The Training Assistant is involved in:
- Optimising travel and accommodation expenses
- Creating training courses schedules and training timetables
2/ Clerical duties
The Training Assistant is responsible for:
- Producing invoices
- Ensuring bills payments
- Making invoices reminders
- Reviewing mission’s reports
- Translating documents
- Organizing digital and paper files
The Training Assistant is involved in:
- Ensuring budget follow-up
- Managing office supplies stock and placing orders
- Assisting tender’s responses
3/ LMS
The Training Assistant is responsible for:
- Creating and managing training sessions
- Creating and updating participants access and data base
- Ensuring the communication with trainers and participants
- Handling any participants queries and questions related to the LMS
- Handling any trainers’ queries and questions related to the LMS
- Ensuring the good functioning of the LMS
- Any relevant tasks to the management of the LMS
4/ Customer Service
The Training Assistant is responsible for:
- Creating and sending various documents to training participants
- Registering participants for the incoming training sessions
The Training Assistant is involved in:
- Supporting to the trainings’ management
- Handling any customers queries and questions
5/ Consultants Management
The Training Assistant is responsible for:
- Liaising with OSC consultants about administrative queries
- Preparing contracts
- Updating HR data base
The Training Assistant is involved in:
- Organizing and supporting recruitment
- Producing training documentation for consultants and trainers
6/ Communication
The Training Assistant is responsible for:
- Proofreading documentation
- Preparing promotional materials to market available training courses
- Developing and updating communication/marketing materials
- Managing the company’s social media pages: Facebook/LinkedIn/Twitter
- Advertising new trainings/products on various platforms
The Training Assistant is involved in:
- Supervising and updating OSC website
- Updating the photos folder
- Any relevant tasks to the management of the website

PROFILE
Right to work in UK is mandatory

Work experience:
- minimum 2 years’ experience in a similar position.
- Work experience in eLearning, event planning, advertising, marketing, sales, office management can be an asset.
Education:
- Bachelor’s degree or equivalent in education, business, social sciences, or a related field of study
Languages:
- English and French, full professional proficiency
Skills:
- Good writing and communication skills, both in French and in English
- Excellent customer service skills
- Ability to juggle several tasks, projects and schedules at once
- Great organization skills and the ability to work within tight deadlines
- Experience with data entry

- Experience with social media platforms: Facebook, LinkedIn
- Interest in graphic design tools: Adobe Applications, GIMP, Canvas
