The Title Representative is responsible for delivering extraordinary service while processing lien placement accurately and efficiently on all Credit Union collateralized loans and the timely release of liens when loans are paid out while displaying the ability to meet all assigned service level timelines and retention schedules set by State Regulations, and additionally having above average skill sets to maintain thorough, detailed and accurate records. This expert provides members with consistent extraordinary service in getting their vehicles titled while protecting the credit union in getting our liens filed within 30 days to protect our interest in case of bankruptcy defaults. This expert is responsible for title knowledge of multiple states as WPCU serves members in all fifty states.
Processing:
- Ensures all liens are properly and promptly filed on all collateralized loans through various channels, including, but not limited to Member Center, Member Help Center, Indirect Dealerships and online loans within the designated allowable timeframe. Ensures proper policies, procedures, risk mitigation activities, and operating controls are followed. Reports gaps in policies, procedures, and operating controls to leadership to ensure member impact and risk is mitigated. (55%)
- Ensures liens are recorded accurately and in a timely manner with government entities. Provides extraordinary service when communicating with members, partners, in state and out of state county title offices, financial institutions and dealerships. (25%)
- Provides expert guidance through monthly reporting to management, ensuring accuracy, preventing exceptions and minimizing any potential for loss exposure. (10%)
- Audits all title work coming from direct channel to ensure proper documentation and fees have been collected. This includes casual sale deals, dealership loans, lease buyouts and refinances. (5%)
- Assists with the monthly reconcilements on various general ledger accounts that are affected by the Title Department. (5%)
Administrator:
- Processes all insurance checks, letters of guarantee, lien releases, prepares paper title releases, responds to insurance companies and adjustors on letters of guarantee requests. Maintains organized tracking of all total losses for credit union collateral. Promptly processes high volume of dealership and title releases paying close attention to out of state requests. Processes all indirect and recapture company lien filings. (45%)
- Sorts and processes incoming mail accurately and efficiently. Ensures accuracy of outgoing mail.(20%)
- Provides extraordinary service when communicating with members, financial coaches, in state and out of state county title offices, insurance companies, financial institutions and dealerships. (20%)
- Ensures requests to convert titles to the state in which vehicle will be titled are completed timely, verifies electronic titles, completes name change requests, audits poa’s and sends GAP documents securely to members and GAP (10%)
- Provides expert guidance through monthly reporting to management, ensuring accuracy, preventing exceptions and minimizing any potential for loss exposure. (5%)
Required Skills
The Title Representative is skilled and knowledgeable in the area of lien placements on all collateralized consumer loans and understands the requirements unique to each loan type or individual state requirements:
- High school diploma or equivalent is required.
- Prior Title experience of at least 2 years in a financial institution or dealership is preferred.
- A minimum of one year experience in a financial institution, preferably a credit union, is preferred but not required.
- All Title Representatives are required to be a licensed Notary Public for the State of Ohio.
- Demonstrated ability to learn and apply appropriate software applications to job functions including Credit Union core system, consumer lending system and any third party web sites used in the process.
- Ability to clearly communicate with internal Partners, members, third party dealers and financial institutions.
- Ability to write clear, logical, succinct communications with both members and Partners. Utilize accurate sentence structure, syntax and grammar when creating correspondence.
- Demonstrated ability to analyze, reason, problem solve, and prioritize work independently and make recommendations to accomplish business and strategic goals.
