Job Summary
Reporting to the Director of Development Communications and Events, the Development Communications and Events Associate will provide administrative support for the development department’s events group, which is responsible for raising a minimum of $2M annually.
Key Responsibilities Manage event vendors—researching vendors, collecting proposals, reviewing contracts, coordinating vendors on site.
Assist Director with logistics and production of events (run of show, volunteers).
Complete detailed expense reports and reconcile with Finance department for event specific tracking, such as check requests for vendor and venue payments.
Participate in content development and send email marketing to donors, including e-newsletters, holiday messages, solicitations, and other collateral.
Responsible for processing all event gifts and sending acknowledgement letters to donors in a timely fashion.
Track budget, income, and expenses for fundraising events and maintain financial documents as gifts are received, including special event invoices and pledge follow up as needed.
Assist team in event invitation and solicitation letter mailings, including pulling and sorting mailing lists.
Schedule meetings, RSVPs, and take notes.
Update donor records in Raiser’s Edge.
Assist with the Young Advocate Circle of BCNY.
Other tasks, as assigned, to fulfill the goals of BCNY and the development team.
Education and/or Experience Bachelor’s degree required.
Professional and customer service oriented approach with board members, donors, vendors, and staff.
Excellent time management skills and the ability to handle multiple projects with high attention to organization and detail.
Ability to communicate effectively in person and in writing with donors, executives, vendors, and other staff members.
Excellent writing and proofreading skills.
Ability to work in the evenings or weekends occasionally for events.
Fluent in all Microsoft Office applications, especially Outlook, Excel, PowerPoint, and Word.
Experience with Raiser’s Edge a plus.
Demonstrated commitment to the mission of the Boys Club of New York.
