Introduction

Brooke East Africa hereinafter referred to as “the Organization,” invites qualified and experienced service providers to submit proposals for the development and deployment of a comprehensive Enterprise Resource Planning (ERP) system. The selected service provider will be responsible for designing, implementing, and maintaining an ERP system tailored to the specific needs of the Organization.

Background

Brooke East Africa works with over two million working horses, donkeys and mules. It draws the staff requirement from diverse background including vets, animal welfare experts, and advocacy and development specialists. As an organization, we are adapting to evolving development paradigms, necessitating a shift in our operational methodologies. In today’s rapidly changing technological landscape, Brooke East Africa recognizes the imperative of embracing technology to bolster the efficiency and effectiveness of our projects and operations. To this end, we are in need of an Enterprise Resource Planning (ERP) system, which will serve as a cornerstone in streamlining our multifaceted operations and optimizing performance across various crucial domains. These encompass, but are not limited to, fundraising management, donor fund management, proposal management, HR & payroll, project execution management, monitoring and evaluation, accounting, and e-procurement.

Scope of Work

The selected service provider shall undertake the following tasks:

3.1. Needs Assessment:

Conduct a thorough needs assessment to understand the specific requirements and challenges of the Organization.

3.2. ERP System Development:

Design, develop, and customize an ERP system that addresses the Organization’s needs, including modules for fundraising management, donor fund management, proposal management, HR & payroll, project execution management, monitoring, evaluation, accounting, and e-procurement.

Ensure the ERP system is scalable and adaptable to future organizational growth.

3.3. Deployment and Integration:

Deploy the ERP system in a manner that minimizes disruption to the Organization’s operations.

Integrate the ERP system with existing software, databases, and systems as required.

3.4. User Training:

Provide comprehensive training to the Organization’s staff on how to effectively use the ERP system.

3.5. Data Migration:

Migrate existing data from relevant legacy systems to the new ERP system, ensuring data integrity and accuracy.

3.6. Testing and Quality Assurance:

Conduct thorough testing and quality assurance to identify and resolve any issues or bugs in the system.

3.7. Documentation:

Provide detailed documentation of the ERP system, including user manuals, technical documentation, and system architecture.

3.8. Maintenance and Support:

Offer ongoing maintenance and support services, including updates, troubleshooting, and technical assistance as needed.

Proposal Submission

Interested service providers should submit their proposals, including the following information:
