Fairtrade Africa

1. INTRODUCTION

Fairtrade Africa (FTA), a member of the wider Fairtrade International movement represents Fairtrade certified producers in Africa and the Middle East. We operate four regional networks: Eastern and Central Africa Network (ECAN) based in Nairobi, Kenya; West Africa Network (WAN) based in Accra, Ghana, Southern Africa Network (SAN) based in Blantyre, Malawi and the Middle East and North Africa Network (MENA).

Fairtrade Africa is owned by its members, who are African producer organizations certified against Fairtrade International Standards producing traditional export commodities such as coffee, cocoa, tea, flowers, cotton, bananas, cane sugar, wine, fresh fruits, herbs and spices and non-traditional commodities including shea butter and rooibos tea. Currently, the organization represents over 1,083,139 producers across 28 countries in Africa. Fairtrade Africa secretariat is located in Nairobi, Kenya, and has 50% ownership of the Fairtrade system

2. SCOPE OF THE ASSIGNMENT.

With more than 600 Fairtrade Certified Producer Organizations (PO) spread across the four regional networks, FTA producer support staff deliver capacity building services to POs to ensure continued compliance with Fairtrade standards requirements and understanding of Fairtrade thematic topics. As part of our mandate to support certified producer organizations in Africa, we have developed a wide range of training materials and tools such as Fairtrade standard manuals, and thematic manuals among many others.

In order to provide skills and knowledge to the Trainers of Trainers, Fairtrade Africa seeks to strengthen the capacity of its’ instructors based on currently developed training manuals. The number of Training of Trainers (ToT) will be organized and provided with joint initiatives of all Fairtrade Africa regional networks. In the above context, this call for tender seeks to procure a competent and experienced training service organization/ institution to undertake the assignment according to these terms of reference.

3. SPECIFIC OBJECTIVES OF THE ASSIGNMENT

To develop a content/ guideline for Training of Trainers (ToT) for four-day training based on developed training manuals on Fairtrade standards & Thematic Subjects.

To provide training to Fairtrade Africa Projects & Programmes staff to strengthen their capacity on skills development training for Trainers of Trainers and producer organizations and to have a better understanding of the developed Training Manuals on Fairtrade Standards as well as Fairtrade Thematic subjects.

4. DUTIES AND RESPONSIBILITIES

Under the overall supervision of the Fairtrade Africa contract manager and in close collaboration with the Project contact person, the consultant will undertake the following duties:

The training provider shall be responsible for at least the following tasks;

· Develop training materials and contents for the Training of Trainers (ToT) for a four-day training program in line with Fairtrade Africa approved training manuals.

· Planning, design, and delivery of the respective training events in all Fairtrade Africa regions.

· Prepare PowerPoint and necessary handouts and materials for the participants developed from the approved Fairtrade training manuals.

· Deliver a four-day training program for all Fairtrade Africa Projects & Programmes Staff in four batches in coordination with Fairtrade Africa regional offices.

· Development and implementation of appropriate training methodology including suggestions and ideas for the training events.

· Preparation, printing and delivery of all training materials including teaching aids and materials/handouts for all participants to accompany each training event.

5. FAIRTRADE AFRICA RESPONSIBILITIES

In this assignment, Fairtrade Africa shall be responsible at least for the following;

a) Organize training venue, refreshments and other necessary arrangements for the participants to attend in the training in the respective identified training venues within the regions in collaboration with the training provider.

b) Provide the training provider with the developed training manuals before the training is implemented.

c) To mobilize participants and ensure that they are committed and available full time for the program without any other obligations.

d) Provide the training provider with the training evaluation tools for use at the end of each training activity.

e) Ensure the availability of flip sheets and markers at the training venues.

f) Provide meals and accommodation for all the participants of the training, including the training provider.

6. EXPECTED OUTPUTS AND DELIVERABLES

The training provider shall be expected to deliver at least the following;

a) Prepare and submit course outline, course contents, PPT, Handouts, and training delivery schedule for Training of Trainers (ToT) as per responsibilities in section 4 above.

b) Prepare and submit the training reports for each program and also a compilation report of the three training programs.

c) Submit an output-based progress report for each training program and a final report of all training programs including a list of trainees with full contact details and profile photographs of individual participants.

d) Conduct Pre and Post evaluation of each training activity and provide reports on the evaluation, impact and outcomes of the training events to Fairtrade Africa.

e) Submit the final training documents (manuals, handouts and power point slides, group work exercise etc.) and documentation including.

f) Certificates of Participation for all participants for the program for trainers of Fairtrade Africa.

The training provider is required to take full responsibility for the content and quality of the training material as well as the quality standards of training. The trainer must be fluent in spoken and written English. The training sessions will be delivered in English. The training materials must be prepared and available in English.

Training sessions should include case studies and exercises, if appropriate, with question-and-answer sessions and panel discussions. Where appropriate training events which include computer-based exercises and case studies would be a major plus.

The training providers should be specialists in their fields and have an in-depth practical insight of the topics, preferably, more than 5 years of experience in providing/conducting training and developing training guidelines. An in-depth understanding of the Fairtrade system and how it offers services to producer organizations shall be an added advantage.

7. ORGANISATION OF THE TRAINING EVENTS

The training provider will be responsible for the complete organisation of each training event. The training provider will therefore be responsible for but not limited to the following;

· registration of participants

· event preparation, set up and hosting

· provision of training materials/handouts

· plan their own travel itinerary based on the agreed training dates.

FTA shall be responsible for the identification of a suitable training venue as well as the provision of catering services to training participants. In all cases, the location of the training events shall be among those pre-qualified by Fairtrade Africa within the respective countries of operation by FTA. The training provider shall inform Fairtrade Africa in good time (preferably two weeks) of any other tools/items that may be required before the planned date(s) of the training.

8. ASSIGNMENT PERIOD

The duration of the assignment is expected to be within one month after contracting and is expected to follow the timelines below;

9. CONFIDENTIALITY STATEMENT

All data and information received from FTA for the purpose of this assignment are to be treated confidentially and are only to be used for the execution of these Terms of Reference. All intellectual property rights arising from the execution of these Terms of Reference are assigned to FTA. The contents of written materials obtained and used in this assignment shall not be disclosed to any third parties without the expressed advance written authorization from Fairtrade Africa.

10. TECHNICAL PROPOSAL GUIDELINES

Proposals from consultants should include the following elements:

· A cover letter introducing the submission.

· An overview of the consultant outlining the relevant skills and experience.

· An overview of the consultant’s understanding of this assignment.

· Overview of the consultant’s proposed consultancy plan, methodology, deliverables, and an implementation work plan with timelines.

· Proposed budget for the provision entire assignment. All proposals must include itemized costs (in USD) to complete the tasks described in the project scope and must include all relevant fees, taxes, and costs.

· Consultant(s) are encouraged to include any additional information they believe demonstrates added value for FTA within the scope of this assignment

· A CV and photocopy of related certificates; and all documents related to working experience for the translators.

· At least 3 references from organizations with whom similar assignments have been undertaken outlining the consultant’s role, performance, and the project deliverables.

Where necessary, the training provider is expected to facilitate their own, expenses related to but not limited to; air-tickets, airport transfers, COVID tests, travel insurance and VISA. These expenses shall be reimbursed as real costs after the delivery of the assignment.

11. QUALIFICATIONS AND EXPERIENCE

· The consultant firm’s team must be comprised of qualified experts, with a demonstrated track record in offering training services. The overall experience of the firm should be more than 7 years.

· Fluent in English, French qualifications shall be an added advantage

· Proven ability and capacity to deliver complete training services meeting tight deadlines.
