The Victoria BID team are responsible for a dynamic and exciting range of key projects and initiatives across the South Westminster BID areas, stretching from Whitehall, Parliament Square, Victoria Station and indeed beyond towards Buckingham Palace Road. We play a fundamental role in generating, promoting and executing projects that aim to support economic growth through placemaking and create a vibrant destination for those who work, visit or live in the area.

Creating a high-quality public realm and environment is at the heart of what we do. The South Westminster BID Executive Team currently has responsibility for various BID areas: Northbank, Westminster and Victoria Westminster. We will also work with the wider teams in the delivery of the BID team’s Business Plan objectives for these BID areas.

Position

We are seeking to strengthen our small team by welcoming the addition of a brilliant Team Administrator and if you are interested in becoming a pivotal part of our team, then continue reading. The purpose of this position is to ensure the day to day operation of the London office is supported in an efficient and timely manner and in a condition appropriate to staff use.

You will be responsible for the smooth running of the London office and all the facilities related services including Reception, Meeting Rooms, and Kitchen area… essentially you will be the ‘Go To’ person for the Victoria BID team, their guests and the wider BID team.

As part of your role your key responsibilities will be as follows:

  • Providing day to day support to the team to include arranging meetings;
  • You will be expected to offer efficient, friendly and professional contact with all visitors;
  • Assisting when requested in event planning, coordination and delivery including attendance at events; Providing logistical and co-ordination for seminars, conferences etc.;
  • Management of the office database (SAGE ACT) which will include keeping all records up to date, managing regular mail outs to business both in hard copy and electronically;
  • Maintaining records in accordance with good practice, internal policies, and relevant legislation.
  • Assisting with office managerial duties such as filing, maintaining stock of publications.
  • General administration duties i.e. answering phones, managing three different email inboxes, taking minutes at meetings, managing mail outs, sorting post and deliveries and providing refreshments

Duties are likely to vary as your role develops, so you will need to be flexible and tailor your support services accordingly;.

The work is largely office-based with attendance at meetings, events and conferences usually a feature of the work. There are occasional early morning or after work events.

Requirements

You will have a good academic record together with excellent organisational skills together with the ability to communicate effectively at all levels – internally and externally with an excellent telephone manner and interpersonal skills.

The ideal candidate will have a good eye for detail, a flexible approach to work and willingness to assist the team where necessary as well as coping with changing deadlines and prioritisation of workload and tasks.

You will require excellent secretarial/office skills to ensure correspondence is circulated in a professional manner with attention to detail being key to ensure letters are always of the highest quality.

A knowledge of SAGE ACT database would be beneficial but an advanced level of Microsoft packages is essential.
