Support Specialist – Legal

Description: RST Immigration provides free legal services to eligible groups through grants as well as fee-based services. In FY2022 and FY2023, a special focus will be placed on serving Afghans who recently arrived in the U.S. The Support Specialist will provide a warm welcome to clients and potential clients who access RST Immigration services, answering phones and transferring calls, scheduling client appointments, and sorting mail for the appropriate staff. A high level of cross-cultural communication within a fast-paced environment should be expected.

**RST staff currently work a hybrid schedule of three days in the office per week; this is subject to change at the discretion of RST.**

Reception:

  • Provide a warm welcome to clients and potential clients who access the office. Greet and direct visitors as well as advise staff of appointments.
  • Schedule appointments and coordinate schedules for staff
  • Coordinate incoming calls, including connecting callers to staff in a friendly manner as well as managing multiple phone lines
  • Conduct preliminary screenings for walk-in clients and distribute resource materials to clients

Administrative duties

  • Provide general administrative support for office and staff
  • Provide daily management and organization of mail, including sorting, processing, and copying mail
  • Complete and submit purchase orders that maintain adequate office supplies
  • Assist with data entry to agency, LawLab, and funder databases and any reporting as needed
  • Preserve privacy and strict confidentiality of client personal information
  • Identify and implement solutions to improve office workflow
  • Attend staff meetings on a weekly basis and as needed
  • Assist in other duties, tasks, and responsibilities as identified
  • Qualifications

  • Bachelors degree and non-profit social services experience preferred
  • Must have excellent cross-communication skills both verbal and written in English and Spanish, Dari, and/or Pashto
  • Experience working with diverse populations desired
  • Experience managing multiple phone lines and incoming visitors simultaneously
  • Must be flexible, capable of working independently under pressure and managing multiple priorities
  • Excellent computer skills including Microsoft Office applications (Word, Excel, and Outlook) as well as Google calendaring
