Mission

Geneva Call is a neutral and impartial non-governmental organization dedicated to promoting respect for international humanitarian norms in armed conflict and other situations of violence. Role

Under the supervision of Senior HR and Administration Officer, Administration Assistant will contribute to administration aspect of the organization. Under the direction and supervision of the Senior HR and Administration Officer the Administration Assistant will be responsible for effectively and efficiently managing all administrative matters related to the Support Department, Payments’ follow-up with the Finance, as well as general administrative support to the Unit.

Core Responsibilities

The key areas which come under the scope of the position:

  • Administration and utility maintenance activities
  • Guesthouse Management
  • Liaison
  • IT Support
  • Travel Management: Ticket Bookings

I. Administration and utility maintenance activities

  • Supervise administrative staff i.e., cleaners and cooks;
  • Ensure on daily basis office and guest house premises are well managed and maintained;
  • Make sure office supplies are managed and recorded according to Geneva Call procedures;
  • Manage inventory and update reporting to Senior HR and Administration Officer;
  • Ensure all the staff receive equipment and furniture after receipts/ return on time (all staff must sign for them);
  • Plan and have utility maintenance carried out timely to ensure convenience into the activities.

II. Guesthouse Management

  • Ensure guesthouses are well maintained and assigned for expats;
  • Ensure Office and GH has sufficient consumables and utilities;
  • Ensure office and GH keys are well arranged.

III. Liaison

  • Apply for VoA for new expats;
  • Follow up and track the work permits and visa dates of the expats.

IV. Information Technology

  • Small troubleshoot of office Equipment and computers;
  • Routers configuration and assigning restrictions on data use.

V. Travel Management – Tickets Booking

  • Ensure staff are given administrative support for the official travels in the country or international travels;
  • Ensure staff have the required documents as per the GC Travel Policy

Any other task assigned by the supervisor.

Main qualifications

Education and experience

  • University degree in Business Management or a relevant field. Skills; High school diploma with strong experience in Administration.
  • At least 3 years in a similar position.
  • Experience with international organizations is preferred.

Languages

  • Required: English, Dari and Pashto

Technical Skills

  • Good knowledge of MS Office Package
