TEAM/PROGRAMME: Supply Chain

LOCATION: SRO main office

GRADE: TBC

CONTRACT LENGTH: 4 Months with possible extinction for additional 2 months

CHILD SAFEGUARDING:
Level 3: the post holder will have contact with children and/or young people either frequently (e.g. once a week or more) or intensively (e.g. four days in one month or more or overnight) because they work country programs; or are visiting country programs; or because they are responsible for implementing the police checking/vetting process staff.

ROLE PURPOSE:

  • The purpose of this role is to provide administrative support to the Supply chain department in the SRO MO during the office transition period.

Key working relationships:

KEY AREAS OF ACCOUNTABILITY

  • Handle the procurement request through working with the assigned Line Manager. this includes drafting RFQ’s, Minutes of Meeting, collecting quotes, follow up with suppliers on their bid submission.
  • Handle the Procurement files this includes archiving the electronic copies in the shared drive
  • To work with the assigned line manager of updating the SRO Asset register on the needed basis.
  • Tag all fixed assets with inventory code number.
  • Update inventory if item status changes, such as if the item is destroyed, stolen, moved to another location, donated, or sold in coordination with assigned line manager
  • arrange receiving of goods as per SCI standards. Notify requestor accordingly to receive goods as per right quality and quantity and in case of any issues related to quantity and quality report to assigned line manager.
  • Vetting of the suppliers and make sure they provide all documents needed to be registered, qualified and integrated.
  • Complying with and promoting all Save the Children Global policies such as Child Safeguarding, Whistle blowing, Fraud, and Health and Safety.
  • Any other tasks assigned by the Regional Head of Supply Chain.

QUALIFICATIONS

  • Logistics or Supply Chain bachelor degree or relevant degree.

EXPERIENCE AND SKILLS
Required

  • 0 – 2 years demonstrated experience in sourcing, contracting and assets management.
  • Computer literate (including working knowledge of MS Word, Excel,) and competency in development of spreadsheets and databases
  • Excellent written and spoken communication and interpersonal skills
  • Cross-cultural experience, understanding and sensitivity
  • Fluency in written and spoken English (required), Arab is a distinct advantage

Desirable

  • INGO experience and an excellent grasp of operational issues.
