Position Summary

Working under the direct supervision of the Associate Director of Financial Planning, the Supervisor, Financial Monitoring & Planning’s primary responsibility is to supervise and develop a team of financial analysts. The position is also responsible for the active monitoring and analysis for unrestricted projects to ensure that expenses are reasonable and within allowable budgets.

Subject to business needs, we may support flexible and hybrid work arrangements. Options will be discussed during the interview process.

Responsibilities

  • Operation. Responsible for the day-to-day management of a team of financial analysts. Serves as first point of contact for any issues. Troubleshoot issues and propose appropriate solutions. Facilitate meetings and trainings as necessary. Monitor workflow and establish a staffing back-up support system. (20%)
  • Reporting & Monitoring. Responsible for financial monitoring and reporting of assigned portfolio. Collaborate with country offices and NY HQ to respond to inquiries on reporting matters, identify and analyze errors, and inform appropriate units of corrections as needed. Responsible for the development and submission of monthly, quarterly, and annual internal and external financial progress reports to ensure that they are in compliance with funder requirements (20%)
  • Unrestricted spending. Monitor, track and provide in depth-analysis for unrestricted projects to ensure that expenses are reasonable and within allowable budgets. (15%)
  • Columbia University Operating Budget (“COB”). Assist in the preparation of ICAP’s annual and quarterly budget updates, and analyses of budget variances. Coordinate and train existing and new staff on COB. Serve as one of the main contacts for any budget exception errors and diagnostics of COB upload issues. (15%)
  • Operational systems, processes and policies. Continuously assess the financial reporting process to identify operational and systematic improvement/s. Implement new processes to achieve department’s objectives. Review and implement any corrective action steps as appropriate. (15%)
  • Staff Development. Routinely review and update staff’s job description and responsibilities as appropriate. Meet with staff on a regular basis to provide timely feedback and develop appropriate training plans. Create a system to better identify team’s performance and development. (10%)
  • Perform other duties as assigned (5%)

Minimum Qualifications

  • Bachelor’s Degree in Accounting, Finance or Business or equivalent in education and experience.
  • Minimum of four (4) years related experience
  • Demonstrated supervisory experience
  • Strong analytical and organizational skills, and strong attention to detail
  • Strong interpersonal skills in order to deal effectively with various internal ICAP units, other Columbia University departments and centers, as well as other stakeholders
  • Demonstrated experience working in a team environment and independently
  • Advanced knowledge of Microsoft Office Suite (e.g., Excel, Word, Outlook)

Preferred Qualifications

  • Master’s degree in public health, policy, management, public administration or related fields
  • Prefer six (6) years related experience
  • Knowledge of the pre and post award management of government grants and contracts, with a heavy emphasis on the reporting requirements of the US government
  • Knowledge and experience with the various financial systems of Columbia University
  • Experience working in a multi-layered environment with a variety of reporting relationships and varying reporting responsibilities.
  • Experience working in an environment where there are multiple and sometimes conflicting closing dates and timelines.
