Strategic Project Management Specialist
Primary Job Function
The primarily focus is to deliver strategic project support and management by proactively undertaking a wide range of administrative tasks, project support for EPD strategic priorities, and stakeholder engagement. Tasks include internal and external correspondence, project management for ongoing activities, budget management and invoicing process, communication interface and plan management, preparation of communication materials and administration of business schedules and expenses.
Core Job Responsibilities
Support in project execution
- Support and lead on the effective project management of various strategic and operational priorities, process improvements and communication plan as required
- Coordinate vendors deliverables per schedule, including communication agencies as per agreed communication plan
- Contribute to the project by coordinating knowledge sharing sessions like ENGAGE core team meeting, community calls, Marketing Excellence network meetings etc. – and work with business stakeholders to successfully deliver strategic projects
- Work closely with the Marketing Excellence team to ensure an effective and cohesive team environment
- Ensure efficient communication and processes – coordinating also communication plan and schedule
Budget
- Booking of invoices and follow up of payments.
- Set-up and tracking of contract within the corporate compliance framework.
- Budget planning and management
Administrative Support.
- Support of the assigned team in within the organization and administrate functions.
- Organization and management of meetings, calendars and conferences – including externals like vendors, interviews etc.
- Office management including internal and external communication in English and possibly German (whenever needed), acting as an interface.
- General office administration such as coordination of business schedules, travel and expenses.
- Help local matters on behalf of department head.
- Guarantees smooth on-boarding of new departmental employees.
- Maintains department files, including SharePoint, in compliance with corporate and business regulations
- Optimization of current, and continuous improvement of administrative processes.
- Ability to deputize for across departments.
Organize, schedule and coordinate external and internal events / meetings
Lead autonomously and professionally on logistics, administration, and support for an important internal projects and workshops, including liaison with the Leadership team and wider business
- Organization and coordination of internal and external meetings and events world-wide.
- Set up multiple types of events (contracts, budget, venue, program).
- Research and suggest location for business meetings and dinners with attendance
Minimum Education
- Bachelor’s degree
- Commercial education or university degree in Business Administration or equivalent experience
Minimum Experience/Training Required
- Minimum 5 years previous administration experience
- Experience of working within a project environment and coordinating projects
- Experience of working across various internal departments and various stakeholders
- Experience in managing budget and handling external vendors/ invoicing process
