Overview:

Join our dynamic team at IBTCI as a Senior Human Resources Associate. We’re seeking a proactive, dedicated professional with a strong sense of urgency and work ethic. This position involves a broad range of HR functions. This position is based in IBTCI’s home office located in Vienna, VA (currently in Hybrid mode, going to office twice a week).

Responsibilities

Essential Duties/Tasks and Responsibilities:

Human Resources Duties

  • Deliver excellent customer service to IBTCI Employees.
  • Accurately and efficiently record data in our HR Information System (HRIS), and ensuring top data integrity.
  • Supports various HR functions including benefits, insurance and administration.
  • Assist in regular audits of benefits invoices, ensuring accuracy and prompt correction of discrepancies.
  • Assist in-depth HR and benefits research, contributing to our knowledge base.
  • Play a key role in compliance, and assist in preparation of reports for ACA, EEO, and other regulatory requirements.
  • Assist with managing and updating all employment law posters and electronic updates for remote staff
  • Maintain all electronic and hard copy records.
  • Coordinate new hire orientation and scheduling for U.S. Staff, ensuring a warm welcome and smooth onboarding experience.
  • Oversee I-9 processing and E-Verify compliance.
  • Assist in organization and coordination of company-wide staff meetings.
  • Facilitate the SPOT & RAK Awards and supports the Employee Recognition Committee (ERC).
  • Facilitate Open Enrollment for domestic and international staff.
  • Serve as a secondary backup for notary public duties.
  • Completes all 1420s for domestic staff.
  • Processes all VOES and off-boarding letters for Home Office, Expats and TCNs. (Not Locals)
  • Monitors employer account Glassdoor and preapre responses to comments.
  • Update and maintain organizational charts, fostering clear internal communication.
  • Support the employee engagement through creative activities and event planning.
  • Other duties as assigned.

Office/Facilities Coordinator Duties

  • Be the primary liaison for property management and facility coordination.
  • Maintain the office supplies inventory, ensuring optimal stock levels. Track and oversee projects and actions, guaranteeing timely completion.
  • Maintain first aid supplies.
  • Handle Corporate Credit Card invoice reconciliation.
  • Provide comprehensive administrative support, including call handling, mail distribution, and visitor reception.
  • Updates and maintains staff telephone list
  • Coordinates the lunch for the All-Hands staff meetings, assists with meeting facilitation, prepares briefing materials, etc.

Qualifications

Minimum Requirements:

  • Minimum two year of professional work experience.
  • Ability to maintain strict confidentiality.
  • Oral and written fluency in English required. Fluency in another language, particularly French or Arabic desired.

Education:

  • Bachelor’s degree in human resource management, Business Administration or related field required.

Preferred Knowledge, Skills and Abilities:

  • Proficient with Microsoft Office, particularly Word and Excel.
  • Records management experience is a plus.
  • Analytical and strong online research skills.
  • Strict attention to detail.

Working Environment: Work is typically performed in an office environment.

Physical Requirements: This is largely a sedentary position that requires the ability to speak, hear, see, and lift small objects up to 20 lbs.

Supervisory Responsibility: This position does not have supervisory responsibilities.

Travel: International travel may be required and may include travel to fragile and/or conflict-prone zones.

Work Authorization: Must be authorized to work in the USA. Visa sponsorship is not available for this position.
