SPANISH LANGUAGE ADMINISTRATIVE COORDINATOR OVERVIEW

The role provides critical support to the Spanish language podcast team at the IWI and undertakes operational & administrative functions of support. In coordination with your team, you will initiate, coordinate and supervise administrative aspects of a production, as well as be responsible for managing team communications and facilitating key tasks and procedures. Their duties include maintaining a master schedule of all meetings and commitments.

PRINCIPAL RESPONSIBILITIES

o Manage team production master schedules;
o Manage incoming and outgoing team correspondence, including emails, and faxes;
o File and organizing records, data entry and other important documentation;
o Arrange and ensure attendance of meetings and taking minutes at team meetings;
o Support the podcast team to prepare information for podcast audience, media interviews, etc; o Create, prepare, and deliver reports to various departments as needed;
o Complete duties in accordance with existing policies and procedures;
o Answer questions and finding information for team members, IWI staff and others as needed.

REQUIREMENTS

o Must be a native Spanish speaker or fluent in Spanish;
o Strong and clear communication style in Spanish and English;
o Proven work experience as an Administrative Coordinator, Administrator, or similar role;
o Hands-on experience with MS Office Suite (particularly MS Word and MS Excel);
o Solid time-management abilities with the ability to prioritize tasks;
o 1-2 year’s experience for entry-level positions;
o Highly organized and able to create an organized and easy-to-follow system for others;
o Ability to handle multiple tasks and duties simultaneously;
o Excellent interpersonal and collaboration skills, and the ability to work remotely and independently as part of a team;
o Desire to work in a women’s human rights environment;
o Ability to manage complex and highly confidential information;
o Comfortable working autonomously and across multiple tasks and reporting into different project working teams and staff;

o Excellent social skills, able to operate with diplomacy, tact and empathy;
o Comfortable with deadlines.
