Accounts Receivable Specialist
Primary Purpose of The Position:
Reporting to the Shared Service Manager in North America. The Accounts Receivable Specialist is responsible for ensuring all sales and orders are accurately billed for, setting clients up for billing, issuing invoices, and ensuring invoices correspond with balance sheet reports.
Essential Duties and Responsibilities:
Core duties and responsibilities include (but are not limited to) the following:
Analyzing all billing procedures and identifying opportunities for improvement.
Verifying with other departments that orders have been fulfilled.
Preparing, issuing, and sending invoices.
Reviewing invoices to ensure billing accuracy.
Reviewing sales sheets to ensure the billing of all sales.
Reconciling invoices with balance sheet reports and resolving any discrepancies.
Communicating with clients and other departments, resolving issues, and providing clarifications.
Ensuring clients’ billing accounts are set up correctly and according to their requirements.
Maintaining updated records of accounts receivable.
Preparing reports and meeting billing deadlines.
Send quotes to customers per established timeline.
Check invoice status of portal submissions and update invoice status on company tracker.
Follow up on open invoices and update payment status on company tracker.
Make deposits as needed for check payments received from clients.
Post Payments in company software.
Location: Preference for Chicago-based (hybrid)
Travel: Not required but may be needed on a very limited basis.
Qualifications:
The requirements listed below are representative of the knowledge, skill, and/or ability required:
Education and/or Experience –Degree in Accounting, Finance, or related field.
Experience –Experience as a billing analyst or in a similar role.
Technical Skills – Microsoft suite skills with experience in data entry, and accounting software programs.
Language Skills – Excellent oral and written communication skills, including the ability to influence others and effectively present information and respond to questions from leaders and corporate departments
Analytical Skills – Ability to successfully manage multiple competing priorities while maintaining a view of the big picture. Strategic thinker with excellent analytical, critical thinking, problem-solving, interpersonal, and relationship building skills
Other Skills- Comfort with ambiguity; Independent thinker who is happiest in the ‘grey’
