Role Purpose:

You will assist in the day-to-day activities of the Grants and Partnership team related to the management of grants, program reporting, and proposal development. You will support programmatic and budgetary monitoring, adherence with donors, and internal rules and regulations of SEMA. You will support the collection of data and reports from program teams, tracking program progress, and support internal and external communication-related activities. You also will work closely with the program teams and will report to the grants coordinator.

❖ Main Duties and Responsibilities:

• Oversee the entire grant administrative and management process and ensure the process is compliant with the donor’s requirements.
• Collect and share due diligence documents and vetting information.
• Develop, review and send concept notes, budgets and proposals to donors.
• Review new grants agreements and/or amendments, be aware of any new conditions and terms, and share important points with related staff.
• Deliver the original copy of the agreement to finance department for archiving.
• Prepare, plan, attend and follow-up kick-off, review, and monitoring meetings.
• Discuss all conditions and terms with related departments.
• Assists with the development, maintenance and tracking of SEMA grants.
• Prepare the project card which contains the most important information and send it as a summary to other departments.
• Follow-up with other departments in SEMA to keep and ensure reporting deadlines.
• Manage effectively SEMA’s relationships with its donors, grantors and sub grantees.
• Make and maintain effective formal continuous communication with donors, grantors and sub-grantees.
• Coordinate meetings between donors and sub-grantees with SEMA’s other departments.
• Review and share all requested reports and/or documents (narrative and financial reports, financial documentations, budget revisions, MEAL documents, workload repots, agreements and amendments and other file requested by the donors)
• Work closely with the finance, procurement , and programs managers to ensure accurate and timely disbursement and liquidation of contracts, agreements, and awards-sub.
• Prepare, develop, review and manage sub-grants agreements with sub-grantees and partners.
• Communicate daily with sub-grantees.
• Follow-up on sub-grants activities and tasks with sub-grantees.
• Build the capacity of subgrantee, regarding to donor compliance and grant management.
• Represent the department and ensure effective participation in meetings and workshops with partners, donors, and other parties.
• Coordinate TPM and auditing facilitation.

❖ Qualification, Experiences and Competencies.

• BA degree is preferable; (Business Administration, English Literature or any other relevant field.)
• At least 2 years of professional experience in a similar position.
• PMP certificate is a strong plus
• Experience in humanitarian work and principles.
• Verified experience in dealing with donor’s policies, procedures, requirements and compliance.
• Excellent communication skills and has a positive attitude.
• Fluent in verbal and written skills of English and Arabic.
