Senior Executive Coordinator – Secretary General’s Engagement

JOB PURPOSE

This post is based in the Office of the Secretary General (OSG) and is responsible for coordinating the internal and external engagements of the Secretary General (SG) and Deputy Secretary General (DSG) (when deputising for the SG). You will be responsible for advising on strategic priorities for engagement; designing forward planning and calendars, key messages and general communications on their behalf concerning their engagements. Working in close collaboration with the Office of the Secretary General (OSG) Special Projects Researcher and Manager (SPRM), and Head of OSG, you will ensure that internal and external engagements and events are strategic, high-quality and achieve the objectives set. You will have the opportunity to work with and support senior executives, working with the top leaders of Amnesty International.

ABOUT YOU

You will have a demonstrated commitment to and understanding of human rights, with excellent communication and diplomacy skills and substantial experience of working with high level executive priorities in large, international and complex organisations. You will be a great organiser with previous project management experience and expertise as well as proven experience of writing briefings, speeches, and high-level correspondence directed to different audiences. You will be fluent speaking in both English and French and be able to communicate effectively with excellent written skills.

MAIN RESPONSIBILITIES

  • Coordinate and support strategic opportunities for the SG’s and the DSG’s external and internal engagements, including advising on priorities and messages and developing forward planning tools, activities, calendars, and communications.
  • Support the SPRM with managing the SG’s and DSG’s (when deputising for the SG) internal and external agendas, including by managing invitations, drafting correspondence and other messages on their behalf.
  • Plan and coordinate high-level country visits, media and other engagements, including in collaboration with the SPRM and the SG and DSG Executive Assistants, including logistics, security arrangements, travel preparation, media work, high-quality briefings, and follow-up.
  • In close collaboration with the Head of OSG, plan and coordinate special internal events in close cooperation with IS colleagues and colleagues in the Amnesty Movement, including coordinating agendas, event promotion, follow-up, and evaluation.
  • Draft a range of communications, including but not limited to correspondence, scripts, reports and other written material for the SG and DSG, as relevant (and instructed by the line manager)
  • Contribute to developing OSG strategic and action plans and the SG’s critical initiatives agenda.

SKILLS AND EXPERIENCE

  • Experience of project management which includes setting up systems, designing and monitoring plans
  • Substantial experience working with high-level executive priorities in large, complex and international organisations.
  • Demonstrated ability to understand and align strategic thinking with operational delivery.
  • Demonstrated excellent communication skills with the ability to convey complex messages concisely and diplomatically to a wide range of audiences in English – verbally and in writing
  • Experience in writing briefings, speeches, reports, and high-level correspondence.
  • Fluency in French is essential.
  • Experience in public relations roles and /or media preferable.
  • Ability to set, manage and monitor plans and budgets.
  • Ability to design and implement effective systems for tracking schedules, work plans, and priorities for top-level management.
  • Experience working under pressure, managing conflicting demands, meeting deadlines and adjusting priorities.
