Position Summary:

The Senior Coordinator, Pre-Award & Grants Administration plays a critical role in the Foundation’s annual $30 million funding for research in IBD. The Senior Coordinator will develop and foster strategic relationships with applicants, scientists, and committee members. The Senior Coordinator will work closely with the Research Department’s grants team to communicate well with other departments across the Foundation. Attention to detail, multi-tasking and time management are critical to success in this position.

Essential Functions & Responsibilities:

  • Reports to the Associate Director, Research Grants and Contracts to manage pre-award (90% of time) and back up support of post awards (10% of time) (functions; ensuring an accurate, timely, efficient and transparent process for the entire grant lifecycle, from proposal to close. This entails pre-award management, including handling applications through proposal CENTRAL, coordinating with the grants review committees, and providing feedback to applicants; and post-award management, including tracking payments, reviewing or producing relevant reports, and communicating regarding questions from awardees.
  • Working closely with the Research Department team to ensure effective communication with other departments across the Foundation; ensuring that mechanisms are in place to provide updates on recent department scientific activities and new discoveries.
  • Communicating well with all stakeholders in this process, including grant applicants, patient and Committee Chairs, other scientist volunteers, and IBD researchers across the globe. Self-tracking of communications through Remedyforce and other systems.
  • Supports the Associate Director, Research Grants and Contracts and the Chief Scientific Officer in coordinating the relationship between the Research Department and the different grants review committees.
  • Provides general assistance and coordination for ongoing research programs and meetings, arranging conference calls, project coordination and follow-up.
  • Sets up and attends grants review committee meetings and conference calls and take notes as appropriate.
  • Works with the Associate Director in the general administrative review of proposals chosen for funding (i.e. compliance, updated other support, budgets and etc.).
  • Assists with different departmental tasks, special projects, and other duties as assigned.
  • General support of the Grants team in Post-Award, when needed.
  • Ex: Processes vendor payments, and miscellaneous reimbursements in the Foundation’s account payable database, as back-up to Post-Award.

Qualifications:

  • BA/BS degree or equivalent experience
  • Minimum 5 years of work experience preferred
  • Customer Service oriented
  • The willingness and ability to learn general industry-wide (Federal and Non-Federal) policies and procedures to help develop Foundation processes.
  • Motivated, self-starter, able to work independently and exercise good judgment
  • The ability to work in a team-oriented environment
  • Organized and has time-management skills
  • Must work well and communicate effectively with other staff and scientists and physician and patient volunteers
  • Ability to work in a fast-paced environment on multiple projects, exercising good judgement in prioritization.
  • Must be extremely detail-oriented, highly organized and meet timelines
  • Proficiency in Microsoft programs (Word, Excel & PowerPoint)
  • Strong interpersonal and verbal/written communication skills
  • Accounts Payable experience a plus, but not required.
  • Commitment to maintaining integrity of a central database.
