Job Brief:

International Justice Mission is seeking a detail oriented, organized and analytical professional, who is self driven and is able to use their experience to lead and provide administrative support and oversight of the day to day case flow management process from initial case reporting through to the conclusion of the case while ensuring accurate, consistent, timely and quality case data entry and management in compliance with the case flow and partnership engagement processes. The Senior Casework Administrator will work closely with a multidisciplinary casework team of lawyers, investigators, social workers, and counselling psychologists in liason with in country regional casework administrators. The role will also include preparing periodic reports and managing the casework partnerships database.

Key Result Areas:

The success of this role is measured by the following KRAs:

  1. Manage the case tracking and management system (Casework Tracking Management System / Justice Data Solutions) to ensure timely and accurate input of casework information and case tracking updates and generation of high quality reports.

  2. Lead the case review and intake process ensuring adherence to case intake policies and guidelines leading up to case intake decisions that align to the casework strategy.

  3. Develop a robust case tracking protocol that enhances constant information flow to caseworkers on case time and case progression to ensure there is no stall in case activity in the system.

  4. Manage the quality assurance for all casework data in the system across all the Uganda regional offices.

  5. Manage the casework partners database and create a network of case referral partners.

Roles and Responsibilities:

Leadership and Management:

  1. Lead in the coordination of the case flow management process based on established case criteria across all IJM locations.

  2. Lead in the coordination of the casework partnership engagement process based on established criteria across all IJM locations.

  3. Lead, collect, and analyze the efficiency of the case flow and partnership engagement processes across IJM locations and develop proposed adjustments for the case flow and partnership engagement processes.

  4. Manage the data cleaning process of all the casework information input into the casework tracking system.

  5. Manage case pipeline and timeframes, identify inefficiencies, and make recommendations to Team Leaders on how to effectively process cases.

Policies and Procedures:

  1. Monitor case reporting and case progress patterns to identify trends in nature of offences reported and manner of response given, to inform reporting, decision making and necessary interventions.

  2. Lead and coordinate with regional casework assistants to organize and conduct case tracking and case decision meetings.

  3. In liaison with Team leads and casework assistants, ensure the maintenance of a manageable case load for caseworkers across locations.

Training and Development:

  1. Lead and conduct trainings for new staff on IJM’s case tracking and management systems, case flow process and partnership engagement process.

  2. Lead and conduct periodic refresher trainings for current staff on IJM’s case management systems, case flow process and partnership engagement processes.

Research, Program Management and M&E:

  1. In liaison with casework assistants, collect, collate, review and leverage casework data to identify and develop proposed improvements for the case tracking management system and IJM casework approach

  2. In liaison with the Team leads, and in coordination with the casework assistants and casework teams, assist to lead the periodic preparation and conducting of the case tracking meetings.

  3. Evaluate and develop proposed strategies in the management of partnership engagements and tracking of partner cases.

Documentation, Reporting & Data Management:

  1. Manage the case tracking management system ensuring high quality input and verification of case data and accurate monthly reports.

  2. Ensure the casework team is adhering to accurate recording of casework data on the case management system.

  3. Work alongside national, regional and global IJM teams to provide feedback and ensure consistency, improvement and roll out of new systems.

  4. Keep regularly update the national casework dashboards

  5. Compile, edit, and submit monthly, quarterly, annual, and ad hoc casework reports.

Supervisory:

  1. The Senior Casework Administrator – National reports to the Senior Manager, Casework partnerships.

  2. The Casework Assistants at all IJM locations report to the Senior Administrator Casework – National

Education & Experience:

  1. Degree in law or other relevant field.

  2. Successful completion of LDC preferred.

  3. Two or more years of experience as a practicing attorney preferred.

  4. Two or more years of experience working with electronic databases or case tracking software like JDS preferred.

  5. Excellent organizational and administrative, critical thinking, legal analysis and oral and written communication skills.

  6. Experience in supervision and mentorship is an added advantage.

  7. Fluency in English and local languages.

  8. Excellent computer literacy with proficiency in MS Word, Outlook, and Excel.

  9. Self-driven

  10. Driver’s License preferred.
