ROLE DESCRIPTION SUMMARY Here at SES we do extraordinary in space so that we can deliver amazing experiences everywhere on Earth. With over 70 satellites in two different orbits, our reach is unlike any other. In this role you will provide key administrative support for the SVP, Global Regulatory Affairs & Government, and other professional staff of the legal department. He or she also supports visiting legal department and company professionals in the Washington office, as needed.

PRIMARY RESPONSIBILITIES / KEY RESULT AREAS

  • General secretarial and administrative support
  • Make domestic and international travel arrangements (including visas, security reviews, satisfying travel vaccination and health requirements, etc.)
  • Prepare expense reports
  • Support event attendance, participation and planning
  • Company Coordinator for Legal Tracker, a software program through which legal and consultancy invoices are processed and approved before being sent to Accounts Payable. Responsibilities include:
    • Serving as point of contact and liaison between vendors and Accounting for queries regarding invoices, payments and status;
    • Providing training to new internal and external users, creating new matters, running reports, and serving as the first approver on all legal and consultancy invoices posted on Legal Tracker.
  • Prepare documents for notarizations, Dept. of State authentications and Consular legalizations
  • English/Spanish translation of and drafting support for legal and regulatory documents
  • Support submission of regulatory filings and associated correspondence
  • Support sanctions compliance screenings
  • Support Code of Conduct compliance activities
  • Interaction with government officials as necessary
  • Maintain electronic filing system for DC legal department
  • Support legal and regulatory projects as required

QUALIFICATIONS & EXPERIENCE

  • Minimum of 7 years administrative experience, preferably in a legal, regulatory or government affairs department, including support for executive level leadership
  • Experience making regulatory filings a plus
  • Proficiency in Microsoft Office tools (Excel, Word, Powerpoint), Outlook, SAP, and other databases and software tools including Visual Compliance and TRACC
  • DC public notary certification preferred
  • Experience in an international company setting is a plus
  • College degree a plus

OTHER KEY REQUIREMENTS / COMMENTS

  • Fluency in written and oral English and Spanish essential
