The RPS Administrator consults with plan participants, plan sponsors and internal business partners regarding the day-to-day activities of a company’s retirement plan. This role is responsible for ensuring retirement plans are administered in accordance with the plan document and IRS/DOL regulations.
Primary Responsibilities
- Answers Sponsor and Participant telephone and email inquiries concerning a variety of retirement plan administration and compliance related topics; provides accurate information and appropriate forms where applicable.
- Communicates and educates Sponsors, Participants, and internal business partners regarding plan document provisions and day-to-day retirement plan activities.
- Assists new and existing Sponsors with payroll processing and Heartland website navigation.
- Holds customers (Sponsors, Participants, and internal partners) accountable for following procedures to position us to deliver exceptional customer service and ensure retirement plans are administered in accordance with the regulations.
- Consistently and accurately follows all procedures, including caller authentication procedures, to reduce risk and protect the integrity of our customers’ personally identifiable information.
- Demonstrates a practical understanding of qualified retirement plan parameters including, but not limited to, plan eligibility, contribution sources, auto enrollment/acceleration, vesting, loans, distributions, RMD’s, and taxation.
- Completes all tasks (including processing and peer quality review) as required to facilitate accurate and timely processing of retirement plan transactions including, but not limited to, termination distributions, ISWD’s, HSWD’s, loans, contributions, small balance force outs, de minimus processing, installment payments, RMD’s, death/beneficiary payouts, QDRO’s, quarterly fees, and plan terminations.
- Completes all tasks (including processing and peer quality review) as required to facilitate accurate and timely processing of census change forms, election forms, investment allocation and transfer request forms, rollover intent forms, and beneficiary designation forms.
- Has a thorough understanding of the RPS Administrator role, work volumes, and deadlines and adapts to frequent changes in priorities and procedures.
- Performs miscellaneous tasks and runs various reports to ensure plan compliance with the IRS/DOL including but not limited to past due loan monitoring, uncashed check review, and RPS bank account reconciliations.
- Actively participates in training and utilizes tools, cheat sheets, and systems to apply newly introduced industry regulations and procedures.
- Identifies process improvement and efficiency gain opportunities.
- Writes new and updates existing procedures.
- Supports new hire and on-going team training.
- Other tasks and special projects as assigned by management.
- Completes annual E-Learning Plan and Bank Secrecy Act (BSA) training as assigned and keeps up-to-date knowledge of BSA as it relates to the job function.
Secondary Responsibilities
- Maintains up-to-date knowledge of present and proposed legislation regarding retirement plans.
- Stays current on any continuing education required for job responsibilities or professional designations.
- Performs other duties as assigned.

Qualifications
- GED or High School Diploma required
- 1-3 years of retirement plan experience a plus
- 1-3 years of customer service or customer facing experience required
- Strong written and verbal communication skills. Ability to problem solve effectively
- Experience working in changing, high growth environments; comfortable with ambiguity and working in matrixed organizations
- Working knowledge with FIS Relius administration/record system is desired, or the ability to learn computer applications relevant to the position
- QKA, QPA, CPC, ERPA or APA designations highly preferred
