Principles for Peace initiative

A. Introduction

The Principles for Peace Secretariat is seeking a consultant to provide operational support and administrative capacity to the Secretariat to support the work of the International Commission on Inclusive Peace.

B. Background

The Principles for Peace initiative (P4P) is a collective and participatory effort to develop principles and standards to support national and international actors to craft more effective and inclusive approaches to peace. The thought leadership of the initiative is spearheaded by the International Commission on Inclusive Peace.

The work of the International Commission is anchored in evidence and global consultations, and enabled by a Ministerial-level Steering Committee, a coalition of 120 organisations forming the P4P Stakeholder Platform, a Research Committee of eminent scholars, and a dedicated Secretariat in Geneva. Since its launch in December 2020, the initiative has gained significant momentum, building an expansive collective effort of specialised organisations, practitioners, policymakers and renowned scholars across peace and security, development, and humanitarian sectors.

The global participatory process of the Principles for Peace initiative has demonstrated that peace often breaks down because it is not broadly legitimate, because it is not sufficiently inclusive and because it is not consciously transformative.

To address this, P4P has developed, through a participatory collective process, something akin to the Humanitarian Principles or the Geneva Convention, for peace, which builds on the learning and collective best practice of the past. It is addressed to and will be used to hold all key actors into account: the international system, national governments, armed actors, private sector, and the civil society. To achieve this, the initiative will work towards uptake and anchoring the Principles in the international system and set up a Global Peace Monitor which will advance this agenda by advocating the change needed, monitoring, building capacity, and collating and making accessible knowledge about best practices.

C. Description of the Assignment

The Operational Support Consultant will provide operational and administrative support to the Principles for Peace Secretariat. The Secretariat is hosted at Interpeace Headquarters office in Geneva.

The Operational Support Consultant reports to the Director, and s/he supports the administrative functions of the Principles for Peace Secretariat, including logistical support to the International Commission on Inclusive Peace. The consultancy includes close collaboration with Secretariat staff members and relevant finance, IT and administration staff at Interpeace. The consultant also liaises with external service providers as required.

The position is until January 31st, 2023.

D. Objectives and Scope of the Assignment

The Operational Support Consultant will deliver on operational/event organisational and administrative tasks as required by the Secretariat.

Specific Duties

Events Organisation and Logistical Support

  • Support the organisation of events and/or conferences in Geneva and other locations. This includes requesting quotes, coordinating catering, and liaising for facility rental
  • Coordinate the logistics for the International Commission meetings and other convenings and support the organisation of events and conferences and manage administrative procedures.
  • Coordinate travel and logistical arrangements for the ICIP members, the Secretariat and other external partners as required, including processing reimbursements and DSA.
  • Assist with developing and posting Social Media content, as required by the Secretariat.
  • Serve as the focal point for Secretariat related travel and events.
  • Coordinates with other Admin assistants at Interpeace offices to ensure that travel processes maintain the defined standard process
  • Support the acquisition of visas, this includes drafting letters and compiling the dossiers

Finance & Procurement Administration

  • Support the procurement process for the Secretariat, including compiling relevant documentation and templates to enable effective and donor compliant contracting of consultants and external partners
  • Review and process incoming invoices from consultants and partners and ensure they have been correctly approved

Other support

  • Coordinate the day-to-day administrative needs of the P4P Secretariat and the ICIP
  • Other administrative tasks related to the institutionalisation and maximising impact of the Principles for Peace
  • Other Administrative ad hoc requests as required by the Director of the Secretariat

E. Reporting and Feedback

All tasks are to be completed in close cooperation and under the guidance of the Secretariat. The Consultant will work closely with all members of the team and report to the Director of the Secretariat Principles for Peace.

F. Qualifications

Education

  • Tertiary qualification in finance, event coordination and logistics, public administration, management, or related field.

Experience

  • At least 2 years of relevant experience in operations, administration and logistics.

Competencies

  • Excellent verbal and written communication skills in English and French.
  • Thorough knowledge of practices and procedures for preparing administrative documents and maintaining file systems.
  • Advanced organisation and coordination skills.
  • Diligence and attention to details.
  • Ability to prioritise work assignments from different units, perform routine work independently, meet deadlines and adapt to changing demands.
  • Ability to determine relevant background and reference materials for others, and to screen for urgency and priority.
  • Ability to work in a multicultural environment successfully and to demonstrate gender-responsive and non-discriminatory behaviour and attitudes.
  • Ability to deal with confidential information and/or issues using discretion and good judgment.

Payment:
