Background:
Under the umbrella of DKH’s Capacity Building Initiative Asia (CBIA) Program that aims at enhancing the capacities of DKH partners in the region, an emerging need to support the partners in training, mentoring, and coaching has risen. Complying with the Core Humanitarian Standards and its indicators, alongside the commitments listed in the Charter for Change, strengthening partners’ capacities, and forming a stronger partnership spirit in the humanitarian assistance field is of crucial value. This assignment will directly contribute to building the capacities of DKH Asia partner’s staff, by equipping them with the technical and practical knowledge to grow the organization and programs which should ultimately improve the delivery of services to the most vulnerable people in their respective countries.

Position Summary:
DKH’s Regional Office West and Central Asia is seeking to hire a Reporting Skills Expert/Coach. The objective is to run a series of coaching sessions focused on reporting skills, with DKH’s Partner organization in Damascus, Syria. The coaching activity is offered to the Reporting Officers and selected Project Managers to assist them in mastering report writing, both internally and externally. The Coach is also expected to conduct a basic technical assessment to determine the baseline of expertise and the areas of focus so to customize the coaching series package to cover the needs in the most efficient manner.
The objective of the assignment is to provide customized technical series of coaching to optimize the participants’ practical skills in reporting projects activities more efficiently while maintaining proper time management and donor requirements.

The Coach’s tasks will be:

1. Conduct a technical assessment to identify the baseline from which the coaching will shape its outcomes.
2. Design a practical and interactive coaching package according to the findings identified during the technical assessment.
3. Facilitate a 5-day (consecutive or non-consecutive) coaching days per month including offline assignments, work sheets, and related exercises to achieve SMART results within the allocated time for the consultancy.
4. Report on the coaching series outcomes and steps taken to achieve the objectives.

Stakeholders and Activity Participants:
GOPA-DERD’s staff including Reporting Officers and selected Project Managers, and other related field staff, when needed. Selected staff from DKH will also be overseeing the activity flow.

Scheduling:
DKH expects to commence the mission during November 2023 and January 2024.

Language:
Training language is a mix of Arabic and English. All reports are to be submitted to DKH in English.

Timeline:
18 days of effort from signing the agreement, excluding travel days.

Technical Assessment (2 – 3 days of effort)

  • In coordination with the assigned focal point from GOPA-DERD, conduct a technical assessment to identify the main areas of focus.
  • Summarize the main focus areas as a reference for the coaching package design

Coaching Series ( 12 days of effort (including preparation))

  • Coaching methodology must be well explained in the technical proposal. Illustrating clear steps for coaching and evaluation.
  • Handouts, if any, must be included in the Coaching Package Material
  • Run 5 days of coaching per month, Coaching and facilitation of activities as to be agreed on upon signing the agreement

Activity Report (2 – 3 days of effort (including revisions))

  • Submit the activity’s full narrative report on all results achieved.
  • Obtain acceptance by writing from DKH on the completion of the consultancy.

The proposal must include:

  • Consultant’s motivational letter
  • Consultant’s updated CV – including a concise summary of relevant competencies and previous relevant experiences.
  • Technical Proposal including technical methodology (must not exceed 5 pages).
  • Proposed daily rate inclusive of all taxes.

Required Competencies:

  • Minimum of 5 years of experience in PCM, preferably in the Levantine region with INGOs and NGOs.
  • Solid experience using MS Project and training on it.
  • Flexibility in customizing training contents for the needs.
  • Well aware of humanitarian context in Syria and the challenges.
  • Ability to travel to Syria without any restrictions. Preferably residing in Syria or allowed to stay and work in Syria.
  • Fluency in Arabic and English.

Budget Proposal:
The proposed budget should indicate the daily rate for a maximum of 18 days of effort, distributed according to the deliverables mentioned above. Logistical arrangements for the mission must not be included in the budget proposal, as they will be reimbursed separately, if any. The daily rate must be inclusive of all taxes in compliance to the Jordanian Sales and Income Tax laws. Payment of the contract will be released in USD or the local currency according to the payment schedule to be determined in the contractual agreement within 30 days from submission of the invoice.
