ABOUT ADRA: The Adventist Development and Relief Agency is an independent, humanitarian agency established for the specific purpose of providing individual and community development and disaster relief. ADRA Yemen pursue a mission of changing the world by uplifting one life at a time. ADRA International serves 142 countries and was present in Yemen since 1995. It has more than 1200 aid workers serving in Yemen making it one of the biggest ADRA operations in the world. Its programs are supported by USAID, OFDA, The Japan Platform, DANIDA, German Foreign Office, German Humanitarian Aid, Sida, UNOCHA, UNHCR, WHO, WFP and DFID. It has presence in 14 Governorates in Yemen responding to all areas of humanitarian sectors. ADRA Yemen is undertaking programs in Yemen in the fields of health, child protection, education, women’s protection and empowerment, NFI and food distribution, cash assistance, and livelihoods programming. Our work in these challenging settings gives rise to some of the most pressing issues facing contemporary humanitarian action, including questions of access, security, funding and coordination.

SUMMARY:

The reporting coordinator is expected to develop reporting templates and ensure the production of timely and accurate monthly, quarterly and annual narrative reports within the approved guidelines of donor offices under the supervision of the Senior Manager of Business Development and Partnerships Unit. The reporting coordinator is expected to prepare situation reports for onset emergencies, displacement and new issues of relevance to the country office and its supporting network.

RESPONSIBILITIES:

  • Prepare and develop reporting templates and ensure the production of timely and accurate narrative reports for submission to the donor offices under the supervision of the Senior Manager of Business Development and Partnerships Unit.
  • Work with and supervise reporting officers technically, ensuring regular follow up and capacity building is provided
  • Lead the development of best practices documentation and assess the applicability of new approaches in program design based on past records
  • Develop regular situation reports about onset emergencies, displacement and new issues of relevance to the country office and its supporting network
  • Assist the Country Director and Senior Manager of Business Development and Partnerships Unit on reporting, retrieving and collecting information and data as required
  • Assess the performance of programs based on reporting history, ensuring continuous development of service delivery to the target communities in coordination with MEAL units.
  • Lead the development of regular country office reporting, e.g. Portfolio Reports, Country Program Overview, Annual and Biannual Achievement summaries, etc.
  • Research, analyze and present information gathered from diverse sources on assigned issues, such as humanitarian needs in the region; propose visualization ideas for the production of infographic materials; contribute to ADRA’s publication with support from the Communications and advocacy coordinator.
  • Responding to ADRA’s leadership requests for information as needed and required
  • Prepare regular briefing on crisis response, emergencies and other relevant events on the humanitarian spectrum
  • Producing and approving new reporting guidelines, and ensuring regular mainstreaming of such guidelines across all programs on the national level
  • Contribute to the preparation of a range of written and visual information products, including reports, studies, background papers, policy guidelines, correspondence, presentations, web stories and multimedia material.
  • Ensure program activities are reported within the approved guidelines by the donors and ensure they are implemented based on the project framework, DIP and towards the overall objectives with support from the MEAL Manager
  • Support the review and reporting activities, including gathering inputs for Daily and Monthly reports to headquarters and relevant stakeholders.
  • Support the program team in developing and organizing reporting database, making sure access to information is facilitated
  • Support in establishing a coordination mechanism at national level and participate in meetings regularly for sharing information as well as resources (coordination meetings, national authorities, etc.) for program reporting purposes
  • Attend relevant sector coordination meetings at national level and occasionally coordination meetings at governorate and district level together with the implementation unit

QUALIFICATIONS AND SKILLS:

  • Minimum of a Bachelor degree in Business, Social Science, or any related field.
  • Minimum of four years’ experience in Business Development for different donors such as BHA, FCDO, Danida, & Sida as well as UN Agencies.
  • Excellent English Language (written and spoken) and very good writing skills.
  • Proven experience in program design, and monitoring and evaluation.
  • Proven experience in budget preparation and design.
  • Understanding of conflict, gender and environmental sensitive program approaches.
  • Excellent communication and interpersonal skills: able to relate and communicate with confidence and professionalism to ADRA’s stakeholders.
  • Working competence in Microsoft Office: Word/Excel/Outlook/PowerPoint
  • Flexibility and ability to work under pressure and on different donor schedules.
