Gülümseme ve Zeytin Yardimlaşma ve Dayanişma Derneği (GvZ) is a non-governmental, non-profit civil society organization that has been supporting the most marginalized, desperate, and affected people since 2014. From the beginning, GvZ believes that its role is to create ways to empower those affected by developing their skills and reviving their sense of humanity and dignity. Through its community centers, GvZ provides women, youth, and marginalized groups with a range of different humanitarian services such as relief aid, protection, education programmers, and communication with other humanitarian actors on how to advocate for issues deemed essential to bring to light. To this end, GvZ strives to continue honing the skills of people to participate in the peacebuilding process and actively advocate for a democracy that reflects a diverse and socially connected society.

Job Overview:

The Reporting and Translation Coordinator plays a pivotal role in ensuring effective communication, coordination, and reporting within the HFOs project. The position holder will be responsible for managing a team of field members, overseeing the generation of various reports, tracking project progress, and facilitating seamless translation services to support the organization’s operations. The Reporting and Translation Coordinator is a key liaison between field teams, management, and external stakeholders, contributing to the success of humanitarian initiatives in NWS.

Key Responsibilities:

Team Management and capacity building

  • Supervise and lead a team of field members, ensuring clear roles and responsibilities.
  • Provide guidance, support, and training to team members to enhance their reporting and translation capabilities.
  • Foster a collaborative and productive work environment within the team.
  • Assist in evaluating the performance of HFO staff, identifying areas for improvement, and providing constructive feedback.
  • Monitor and follow up on the daily tasks of the HFO team, providing support and guidance as needed.
  • Organize, coordinate, and conduct training sessions for field team staff on data collection and reporting tools to enhance their skills and capabilities.

Reporting and Documentation:

  • Develop and implement a comprehensive reporting framework for field activities, ensuring consistency and accuracy.
  • Oversee the timely submission of project reports, including humanitarian situation reports, daily update reports, incident reports, and donor reports.
  • Collaborate with field teams to collect, analyze, and compile data and draft various types of assigned reports.
  • Review and edit reports for clarity, coherence, and adherence to quality standards.
  • Produce and oversee the production of high-quality survey reports.
  • Acquire data from primary or secondary data sources and maintain data governance processes.
  • Contribute to the development of new systems, workflows, and processes aimed at ensuring timely reporting by field officers and humanitarian assistants.
  • On request, prepare and create reports for different humanitarian actors including OCHA, cluster, TWGs.

Translation:

  • Facilitate translation services to ensure effective communication between field teams, beneficiaries, and stakeholders.
  • Ensure the quality and accuracy of translations and interpretations of different project products.
  • Coordinate the process of assessing translations, resolving translation issues, conducting technical reviews, spot-checking, and proofreading.

Information Management:

  • Maintain the centralized database for project-related information, including reports, data, and project outputs.
  • Provide support for data analysis, visualization, and reporting tools.
  • Ensure compliance with data protection and confidentiality protocols.
  • Work closely with Information Management staff to ensure accurate and effective data presentation, graphics, and maps in reports and communication materials.

Data Collection Optimization:

  • Develop and implement data collection systems and strategies that enhance statistical efficiency and data quality.
  • Manage field officers’ data collection efforts, providing guidance and support to optimize data collection processes.
  • Ensure the completeness, format, consistency, accuracy, and validity of data collected for use in all reports.

Qualifications:

  • Bachelor’s degree in a relevant field; advanced degree preferred.
  • 4 years of proven experience in project reporting, data management, and translation services within the humanitarian sector.
  • Ability to work effectively in a fast-paced and demanding environment.
  • Strong organizational and leadership skills, with the ability to manage and motivate teams.
  • Excellent written and verbal communication skills in both English and Arabic.
  • Proficiency in data analysis and reporting tools.
  • Knowledge of humanitarian principles, standards, and best practices.
  • High attention to detail, accuracy, and a commitment to quality.
  • Strong interpersonal and cross-cultural communication skills.
