Chemonics

General Summary and Background: The purpose of the Afya Ugavi Activity under the USAID Global Health Supply Chain Program – Procurement and Supply Management project is to address the supply chain and health commodity systems strengthening needs of the family health, malaria and HIV∕ AIDS programs within Kenya. This will be directed through technical assistance (TA) at both national and county level. The task order will support the Ministry of Health (MOH) Department of Family Health (DFH), National Malaria Control Program (NMCP), and the National AIDS and STI Control Program (NASCOP).

Principal Duties and Responsibilities (Essential Functions)

  • Implement indexing and classification in line with Chemonics archiving standard operating procedures.
  • Perform paper-based and electronic filing of Afya Ugavi’s finance, Accounting, Operations documents in the Chemonics internal database in an organized manner to ensure continuous availability.
  • Store and track various documentation in a central internal repository, secured from damage or deterioration and with proper traceability for retrieval and support their shipment to US Chemonics office.
  • Perform documents and records restoration in line with set procedures ensuring high standards
  • Update excel archiving tracker
  • To work with Operations department, Accounts Assistant and IT officer to reconcile missing journal records.
  • Sort box files in shipping boxes with contents of each box typed using Microsoft word as per Chemonics guidelines and attach to shipping box.
  • Support the Operations team with any other duties as assigned

Skills and qualifications:

  • Bachelor’s Degree in Records Management, Library Management or Information Science or a related field or;
  • Diploma in IT Business Management, Archives and Records or Library or Information Science or a related field with 2-year experience in records management.
  • Under 3 years after graduation
  • Good command of Microsoft office word, excel, outlook.
  • Good communication skills.

Level of Effort and Location

The internship will be for a period of three months and is based at the Project’s Nairobi Office.

Supervision

The Intern will report to the Activity’s ICT and Security Officer or their designee.
