Summary

Purpose

The Receptionist will establish and maintain a welcoming and professional atmosphere for the K3521 suite. You will be the first contact for students, prospective students (and their families), staff, faculty, and alumni entering our suite which houses the following units: Ross Registrar’s Office, Financial Aid, and the Office of Undergraduate Programs, including Undergraduate Admissions and Academic Advising. You will execute a high-level of professionalism and customer service while providing information and resources. You will report to the Managing Director of the Office of Undergraduate Programs.

You Will

General Reception

  • Manage student and visitor traffic for appointments and walk-ins for the above departments.
  • Answer questions by phone, email, and in person directed to units within the suite and other Ross units.
  • Make referrals to other campus offices.
  • Coordinate reservations and schedules for the advising and conference rooms.
  • Accept deliveries; sort and distribute incoming mail.
  • Direct guests to staff or arrange for staff to engage students in the appropriate facility.
  • Assist students with routine inquiries regarding registration and enrollment.
  • Assist prospective students with routine inquiries regarding application requirements and deadlines.
  • Manage information at desk; maintain physical and electronic displays with current information.
  • Assist department in the management of materials storage and the storage facilities.
  • Distribute materials to students (and others) to support departmental activities.

Support for Specific Units

We are looking to set an expectation of helpfulness and efficiency which would include these types of activities:

  • Help manage calendars for Managing Director and OUP groups; coordinate meetings, issuing calendar invitations, scheduling of conference rooms, setting up remote participation, assist assembling meeting materials and disseminating accordingly.
  • Help prepare program and event materials.
  • Scan documents to students’ electronic files.
  • Support communication efforts with current students using one or multiple technology channels (newsletter, canvas notification, intranet, Slack, etc).
  • Author communications on behalf of departments and distribute to appropriate parties.
  • Conduct research and benchmarking.
  • Proofread documents, including websites.

You Have

  • Associate degree and two years of related experience or high school diploma and four years related work experience in a customer or student facing role.
  • The ability to operate and engage with a diverse group of colleagues, faculty, staff, students, visitors, and alumni
  • Proficiency in MS Office applications or the Google Suite of productivity software
  • Ability to work with sensitive material confidentially.
  • Eagerness to work independently and to improve service, efficiencies and productivity.
  • Demonstrated attributes of cooperation and teamwork

The general salary range for this position is $31,000 – $36,000. Candidates can expect to be paid a competitive and equitable salary. Factors used to determine salary include experience, knowledge and skills for the position. All candidates are encouraged to discuss salary questions to honor alignment and transparency throughout the recruiting process.
