Context:

The Publications Unit (PUB) within Migration Research and Publications Division (MRPD) is responsible for supporting IOM’s Country and Regional Offices, as well as Headquarters Departments/Offices in publishing reports, guidelines, articles, and other materials on the IOM Publications Platform. As part of this support, PUB provides production services in style and language editing (copy-editing), layout and design, quality assurance (QA) review, and approval for publications uploaded to the IOM Publications Platform. The Unit also develops guidelines and provides technical advice to IOM Offices to ensure compliance with the Organization’s brand, style, and spelling.

Under the direct supervision of the Senior Publications Specialist, the Publications Specialist (Quality Assessment) will be responsible and accountable for checking and verifying that publications to be uploaded to the IOM Publications Platform are in compliance with IOM standards.

Core Functions / Responsibilities:

  1. Undertake detailed QA review of publications that have produced outside the Unit for their adherence to IOM Publishing Standards, as per the IOM Style Manual, Layout Manual, and IOM Spelling List, as well as the Brand Guidelines.
  2. Provide detailed comments/revisions to Project Managers and/or other staff responsible for publications that are subject to QA review, and coordinate/confirm revisions to check the final version is consistent with IOM standards.
  3. Communicate with relevant departments at Headquarters, Country, and Regional Offices to ensure that all relevant changes and revisions have been reflected in the publications.
  4. Submit the final reviewed publications to the Senior Publications Specialist for approval before they are uploaded onto the IOM Publications Platform or otherwise disseminated externally.
  5. Keep up to date with United Nations systems and other relevant changes (e.g., changes to official country names), as well as changes in processes and practices internally.
  6. Update the internal pipeline to reflect the status of each reviewed publication.
  7. Participate to the Unit and Division meetings and provide input on publications-related issues, as requested.
  8. Perform such other duties as may be assigned.

Required Qualifications and Experience:

Education

  • University degree in Publications/Communications or related field from an accredited academic institution with three years of work experience; or,
  • Completed High School / Secondary school education with five years of work experience.

Experience

  • At least three years (five years for High School / Secondary school education holders) of experience working in publications production, knowing the United Nations System is an advantage;
  • Experience working in an international environment; and,
  • Demonstrated experience in collaborating with other teams to achieve common goals.

Skills

  • Advanced computer literacy skills: knowledge of Microsoft Office tools as well as AdobeAcrobat with Adobe Suite an advantage;
  • Good communication, organizational, interpersonal skills and demonstrated ability to collaborate with diverse staff/teams; • Consistency and high attention to detail;
  • High sense of responsibility and ability to show initiative and remain focused, maintain accuracy, including while under pressure; • Ability to prioritize and meet tight deadlines;
  • Advanced level of Adobe Acrobat and the full Adobe Suite an advantage; and,
  • Understanding of migration issues and the work of the Organization.

Languages

IOM’s official languages are English, French and Spanish.

For this position, fluency in English is required (oral and written). Working knowledge of another official UN language (Arabic, Chinese, French, Russian and Spanish) is an advantage.

Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.
