The Opportunity

This is an exciting time at NetHope as the organization implements multiple high-impact programs and develops programs and services in collaboration with its Members and technology partners to find solutions to collective problems. The Project Coordinator will be at the heart of this growth as they will drive the implementation and ensure success of NetHope.

Project Coordinator

NetHope is seeking engaging, experienced, organized, and enthusiastic Project Coordinators to support the development, design, and execution of NetHope’s programs. The Project Coordinator will provide a coordination layer and a great customer experience to internal and external stakeholders.

The Project Coordinator must be adept at working in a team environment. They build and bridge communications in a virtual environment. They need to be successful in maintaining processes and workflows. They will support activities and programs of their respective department to ensure that all workplans and deliverables are efficiently completed, at a high standard of quality, and in full compliance with NetHope and donor policies. They will be skilled at organization and have a strong eye for detail. The Project Coordinator provides a layer of consistency and professional cohesion throughout NetHope’s activities.

Responsibilities may include:

Project Coordination Activities

  • Provide overall support for the effective implementation of activities and programs.
  • Help with the setup, curation, and maintenance of project and project-tracking information in relevant systems, including tracking the progress, plans, activities, deliverables, and quality of work being performed.
  • Coordinate in-person and virtual events, workshops, and trainings, including arranging meetings, identifying workshop/training participants, preparing and sending invitations, arranging venues, assisting with language translation, arranging travel, and other logistics
  • Assist in managing contracts and subawards process, including drafting agreements, onboarding consultants and sub-awardees, tracking billed time against project budget, reviewing and processing invoices, tracking contract duration, and initiating the contract renewal process as needed
  • Review administrative (e.g. invoices, agreements) and technical materials (e.g. progress reports, invitations, digital communications) to ensure compliance with NetHope and donor policies and regulations
  • Assist the team in preparing activity reports, presentations, meeting minutes, and financial reports
  • Maintain high levels of data quality regarding department information, contacts, and Member benefits, particularly in CRM, program management, M&E, and other systems
  • Work with the team to create automations, common processes, and continuous improvement to NetHope’s project, program management, and service delivery practices
  • Work with the communications team to write and commission blogs, social media, and other creative assets for the project to and from relevant stakeholders, that encourage and enthuse participants and drive the department’s goals.
  • Engage with other Coordinators to ensure the flow of information, open communication, teamwork, and efficiencies across the entire organization team
  • Support the team on additional assigned projects/tasks

Program Development

  • Use initiative and creativity to help the team identify, design, and implement activities in line with the project goals
  • Work with project leads to organize and create stakeholder meetings, communication assets, trainings and other events, and assist with determination of project requirements and activities
  • Connect with external partners as needed to support the work of the program team
  • Assist the Senior Leadership Team (SLT) and Program Managers in the drafting and issuance of project proposals, RFPs, tenders, budgets, cash flows, and deliverable schedules.

  • Demonstrated ease of working across functional areas and with stakeholders at all levels of the organization
  • Multilingual verbal and written communication skills a plus

Education and Experience

  • Minimum 3 years project coordination or equivalent experience in a global nonprofit environment
  • Bachelor’s degree from an accredited institution preferred or equivalent work experience
  • Prior experience working on programs or projects funded by institutional donors, such as USAID, DFID/FCDO, SIDA, UN agencies, and others a plus
  • NetHope Member experience highly valued, other NGO experience a plus
  • Experience using project tracking and ticketing software to manage projects and deliverables
  • NetHope uses a variety of technology to facilitate our work. You can expect to use Salesforce, Asana, Slack, Miro, Zoom and Microsoft Office extensively. Of course, we will provide orientation to these and others, but a high level of literacy in similar tools is a plus.

Reporting and Working Conditions:

  • This is a full-time position that reports to a designated manager within the assigned team, and works closely with Project Coordinators in other work groups.
  • NetHope is a virtual organization, so our team, our Members, and our Partners are located around the world. Due to the global nature of the organization, meetings may thus be required at any time of the day to meet with our stakeholders in varying time zones. To meet these needs, NetHope embraces flexible schedules for team members, and we work with each other to be located globally, but still maintain a reasonable work time balance.

  • This position is 100% remote and virtual. International or domestic travel may be required for one to two NetHope events annually.
