Organizational Scope & Context:

Under the overall supervision of the Head of Programme Support Unit (PSU) and direct supervision of the Project Development and Reporting Officer, the Project Development and Reporting Assistant will provide general and administrative support to the development and design of new projects, engagement with technical specialists at Regional Office (RO MENA) and reporting on programmes/projects implemented at both national.

Core Functions / Responsibilities:

  1. Assist in the drafting of reports, concept notes, proposals for potential donors in the mission following applicable protocols.
  2. In close coordination with Programme/Project Managers (PM), assist in compiling donor interim and final project reports aligned to the programme/project objectives, work plans, and timelines in accordance with the project documents and donor agreements.
  3. Participate in quality assurance regarding project reporting and verify relevant documents are aligned to donor standards and requirements as well as the IOM project handbook and writing style manual.
  4. Contribute to desk research and draft background information to support programme and project proposals, and regularly update the mission’s contact list of all relevant stakeholders, donors and potential calls for proposals to facilitate outreach.
  5. Draft letters, situation reports, briefing notes, fact sheets, brochures, monitoring and evaluation reports, targeted fund-raising products, whenever necessary.
  6. Ensure that project track reporting system is updated and disseminated to all relevant units on a quarter basis.
  7. Assist the PMs in uploading relevant documents into PRIMA system and collect and forward feedback from RO to appropriate parties.
  8. Undertake duty travel to support project/programme implementation and monitoring, and liaison with counterparts, as required.
  9. Support with the preparation and execution of trainings for staff on a range of topics related to project development and reporting.
  10. Perform such other duties as may be assigned.

Required Qualifications and Experience:

Education

  • Bachelor’s/University degree in Political or Social Science, Business Administration, International Relations, Migration or Development Studies, Human Rights, Law or a related field from an accredited academic institution with three years of relevant professional experience; or,
  • Secondary School Education with a minimum of five years of experience in a community work related field, with relevant qualifications.

Experience

  • Proven work experience either in project development and project management.
  • Work experience in technical writing, editing, and reporting. Work experience in donor relations and report writing for relevant donors would be a distinct advantage.
  • Some experience in and understanding of monitoring and evaluation concepts.
  • Some relevant work experience in international development or the humanitarian sector.
  • Ability to work with a wide cross-section of research partners: Government, NGOs, communities, academic institutions, media, and international donors.

Skills:

  • Excellent English writing,
  • Communication and negotiation skills.
  • Ability and proven track record to prepare and present clear and concise research papers and reports in English and French.
  • Good organization skills, analytical and creative thinking.
  • High computer literacy; familiarity with standard word processing, spreadsheet, database, publishing, internet research, and e-mail communication.
  • Personal commitment, flexibility, efficiency and drive for results; ability to perform research and make effective decisions under time pressure.
  • Ability to work effectively and harmoniously with colleagues from varied cultures and professional backgrounds;

Languages

  • Thorough knowledge of English and Arabic (Oral and written)
  • Working Knowledge of French is desirable.
