About ITPC

The International Treatment Preparedness Coalition (ITPC) is a global activist network (GAN) fighting for universal access to treatment. ITPC is an issue-based organization that uses HIV as an entry point to the right to health and partners with affected communities across the world to address treatment access issues for diseases including diabetes, hepatitis C and hypertension. Our GAN is a dynamic movement that invites and fosters the participation and leadership of hundreds of treatment activists through sharing of information and collaborative policy work, monitoring, and advocacy. Our operational hub, in Johannesburg, South Africa, supports a small global team to carry out our global mandate to ensure that everyone in need of treatment can get it.

In order to make and keep medicines affordable for those in need, we must develop regional and national strategies to challenge these intellectual property barriers. ITPC and our partners work to develop such strategies based on the real-life consequences for communities affected by HIV, helping to refocus the global trade agenda so that access to medicines is a core priority. There is currently a vacancy within the Make Medicines Affordable (MMA) department, for the role of Program Coordinator. The successful candidate will be responsible for ongoing coordination and support to the MMA team in terms of partnership development, project management, program logistics and contracts management, to ensure the highest levels of program impact. This is a full-time, work-from-home position. Preference is given to candidates operating in CET or SAST time zones, or similar.

Core Responsibilities

  • Assist the project team with tasks related to development and management of partnerships with country partners, as well as with their local staff assigned to the project.
  • Assist in scheduling and coordinating staff and partner (hubs).
  • Initiate and host scheduled conference calls, as required, through zoom or other conference calling systems.
  • Prepare and disseminate meeting notes for internal and project calls.
  • Maintain information of key ITPC network members and sub-granteesw transactions for cost reasonableness, allowability and allocability.
  • Maintain the program calendar and send out updates and reminders as necessary on key events.
  • Assist with logistical needs for meetings, conferences, and events including travel and hotel reservations.
  • Support the planning and management of workflow and liaise with finance staff to ensure the effective facilitation of meetings, trainings, and workshops.
  • Assist in organizing travel for staff for key projects.
  • Oversee consultants
  • Assist with collection of data, analysis and preparation for semi-annual and annual program and Monitoring and Evaluation reports.
  • Assist in sending requests and collecting data for annual programmatic modification.
  • Ensure project partners meet project deadlines in terms of reporting.
  • Support ITPC’s small grants initiative.
  • Identify bottlenecks and solutions to project-related work as a part of the project team.
  • Assist in preparing consultant’s contracts in liaison with Procurement and Contract Officer.
  • Ensure payments are conducted on time: liaise with consultants on invoicing, launching invoices on payment system, following up with any payment-related issues.
  • Monitor contracts implementation with consultants for timely contract amendments and renewals; ensure contract assessment forms and needed documentation for Approved Supplier List is timely on file.
  • Assist with link to the finance team to ensure project performance in terms of budgeting and forecasts.
  • Schedule calls and carry out administrative tasks (e.g. internal administrative documents preparation, etc.) for the Access to Diagnostics and Medicines Lead, as the need arises.
  • Effective stakeholder engagement.
  • Contribute as a staff member to safeguard and build ITPC’s culture.
  • Perform ad hoc duties as delegated by the MMA Senior Project Manager and the Lead.

Requirements

  • Bachelor’s Degree in International Health/Development, Public Health, Public Policy, Health Economics, Pharmacy, Pharmaceutical Chemistry, Finances, Law or another related field
  • At least three to five (3 – 5) years’ relevant experience in lieu of Bachelor’s Degree.
  • Excellent research and analytical abilities and quantitative skills.
  • Strong written and oral communication skills in English.
  • Proficiency in using Microsoft Office, particularly Outlook, Word, Excel, and PowerPoint.
  • Tech-savviness and advanced computer skills, particularly MS Office package (Word, Excel, Outlook, PowerPoint) and Zoom as well as language translation applications (DeepL) etc.
  • High levels of organization and attention to detail.
  • Sound judgment and able to proactively take initiative.
  • Robust ability to multi-task, work under tight deadlines and across multiple time zones.
  • Ability to work independently in a flexible and virtual NGO environments.
  • Positive attitude toward team building, group dynamics, and fostering a collaborative working environment.
  • Outstanding interpersonal skills, demonstrating high levels of personal integrity and professional credibility across populations.
  • Adaptability, flexibility, experience working in cross-cultural settings.
  • Strong written and oral communication (including presentation) skills in English. In addition to English, ability to work in another language is a plus.
