The Opportunity

Role Purpose

The Project Coordinator role provides essential administration, logistics, procurement and finance support to the UCAN Project Director and team members. The Project Coordinator will use their excellent administration, coordination and finance skills to support ongoing processes and to establish new mechanisms to better support key tasks. This position relies on developing strong relationships within the UCAN Team, including those based remotely, and with Regional Office (RO) support teams

Administration, HR, Finance, Supply Chain and Awards Management.

In order to be successful you will bring/ have:

  • A minimum of a BA in a relevant field.
  • Minimum of three years’ experience in a coordination or administrative role, including previous experience in and supporting multi-disciplinary teams.
  • Experience setting up and maintaining administrative, financial and event management processes.
  • Excellent written and oral communication skills, including fluent written and spoken English and Arabic.
  • Excellent interpersonal skills with experience liaising with stakeholders and of working with people from a range of backgrounds and cultures.
  • Ability to work on own initiative, manage a high volume of work and prioritise against tight deadlines and under pressure.
  • A high level of IT literacy, including troubleshooting and utilisation of projectors and videos.
  • Understanding of and commitment to humanitarian/development work and to the mission of Save the Children International.

Key Areas of Accountability

Project management support

  • Lead on the online subscriptions under the project including monitoring spend toward the allocated budget in coordination with the finance team, tracking invoices, and managing the admin accounts.
  • Provide administrative support to communications with CO Focal Points and partners
  • Support in the generation of reports and communications material
  • Support recruitment processes and procurement of goods and services for project activities, including raising purchase orders and tracking key steps and delivery outputs
  • Structure and maintain the shared folder for the project and keep track of team members’ input.

Team Management support

  • Provide effective administration and coordination support for the Project Director across a range of recruitment, HR, procurement, finance, administration and fundraising tasks and processes.
  • Support procurement of goods and services for the Project Director and team members, including raising purchase orders and tracking key steps and delivery outputs
  • Lead on providing administrative support for travel and visitors for the Project Director
  • Coordinate orientation schedules for new staff in the UCAN team with internal and external teams; and liase with other teams to ensure timely access to SCI systems for new team members
  • Contribute to and coordinate the preparation of presentations and materials to support fundraising for the project
  • Coordinate the Project Director’s meeting schedule
  • Maintain costing information and tracking systems to support project budgeting including management of ongoing online subscriptions
  • Maintain confidentiality of sensitive information at all times
  • Take minutes of meetings, as required

Training and meeting coordination

In collaboration with RO/CO support teams:

  • Support face to face training and meetings by sourcing, booking and liaising with venues and suppliers before, during and after the events
  • Support remote / online training and meetings, ensuring effective coordination and logistics support
  • Manage event budgets, tracking expenditure, processing invoices and other financial information, such as expense claims and payment of suppliers
  • Raise purchase orders as required for venues and materials
  • Support in confirming that documentation is obtained for all expenditure
  • Ensure effective support and coordination of training / meeting materials, and ensure the necessary equipment and stationary is available to participants and facilitators

General

  • Contribute to team meetings and planning processes, internal initiatives and reporting requirements
  • Demonstrate leadership in relation to Save the Children policies and practice with respect to child safeguarding, bullying and harassment, code of conduct, equal opportunities and other relevant policies and procedures.
