The Project Coordinator is responsible for assisting the Project Management Team with satisfying Company construction goals including generating contracts, entering schedule of values, scope of work, processing change orders and maintaining insurance. This position reports to the Vice President of Construction and is based in Carlsbad, CA.

Primary Responsibilites

  • Assist in the preparation of pre-construction functions including bid packages, cost updates, insurances and bid spreads
  • Contract Management including Consultant Agreements
  • Meet with the Project Manager, field team/Construction Manager and Subcontractors regularly to discuss the progress of the project
  • Assist Projects Manager and Superintendent with ensuring project site and equipment is set up as requested and set up field office
  • Assist Project Manager with reviewing and preparing work orders and material orders; generate Purchase Orders, obtain approval, and enter into the system
  • Monitor and maintain project records and files
  • Assist in preparing monthly project reports
  • Create, prepare, and manage all subcontracts and change orders
  • Monitor status of pending and completed documents with subcontractors and vendors, manage detailed logs
  • Attend weekly project meetings
  • Monitor and track insurance for all consultants and subcontractors
  • Onboard new project teams

Desired Skills & Experience

  • Bachelor’s degree in Business or Construction Management, or equivalent experience required
  • At least 1 year of experience in the construction industry desired
  • Proficiency in Microsoft Outlook, Word and Excel, Bluebeam or Adobe required. Experience with Timberline and Yardi accounting software preferred. Procore experience is a plus
  • Knowledge of California construction procedures a plus
  • Excellent time management and organizational skills
  • Highly effective written and verbal communication
  • Experience working in a fast-paced environment with the ability to meet daily deadlines
  • Ability to multitask and work on multiple projects
  • California notary a plus
