Job Brief

The Project Assistant (PA), Tunisia will be responsible for providing administrative and programmatic support for the successful implementation of USIP’s Security Sector Reform (SSR) project. The PA will work closely with team members in the Tunis office and in HQ, and will report to the SSR Project Officer (PO) based in Tunis. This is a full-time position based in Tunisia. It is a fixed-term Personal Services Contractor position for a host-country national lawfully admitted for permanent residence in Tunisia. Hiring for this position is contingent upon funding availability.

Summary

The Project Assistant (PA) reports to the Security Sector Reform Project Officer. The PA will also work closely with the project team members to support project and event execution. Responsibilities are primarily related to administrative and operational aspects of program implementation with room for growth.

Major Duties and Responsibilities

The PA will provide effective logistical and administrative support for the successful implementation of the SSR project activities. This includes:

* Coordinating with vendors including hotels, caterers, interpreters, etc.;

* Contract submission, document preparation for payment, preparation for events logistics and budgets;

* Organizing logistical and administrative aspects of workshops and meetings;

* Planning and supporting experts and USIP staff travel;

* Liaising with experts, vendors, and partners to schedule appointments, attending meetings, and taking notes as needed;

* Supporting the collection of monitoring and evaluation data as needed;

* Assisting in preparation of weekly and monthly reporting for internal and external audiences as needed;

* Providing translation and interpretation support in Arabic, English, and French as needed, proofreading documents, etc.

* Coordinating project expenditure and disbursements following approval from relevant team members;

* Ensuring that program databases and documents are well managed and updated in a timely manner to enhance the knowledge management of USIP’s programs;

* Working closely with HQ and in-country operations and finance teams;

* Providing additional project and administrative support when necessary.

Qualifications:

* Bachelor’s degree in international relations or related field.

* One (1) year of relevant professional work experience.

* Knowledge of Tunisia political and cultural dynamics required, and security sector experience preferred.

* Experience supporting administrative and operational teams.

* Strong time management skills with the ability to prioritize work, work under pressure, and meet deadlines.

* Demonstrated research and analytic skills in Arabic, English, and French.

* Proficiency in Arabic, English, and French required.

* Must have strong collaboration skills; must have the ability to coordinate the input and priorities of multiple team members.

* Must have excellent interpersonal skills.

* Working hours: Full time (40 hours/week)

* Location: Based in Tunis, Tunisia

* Starting date: January 2024
