Position Description

EnCompass LLC is seeking a Project Assistant to support the day-to-day administration of the USAID-funded Generating Results in Our Work and Thought Leadership (GROWTH) project. Through GROWTH, EnCompass LLC supports USAID’s Bureau for Democracy, Human Rights, and Governance (DRG Bureau) to strengthen the capacity of its staff to design and deliver high-quality learning events, facilitate learning exchange, and serve as thought leaders in the DRG community. The Project Assistant will provide management, administrative, and logistical support to all aspects of GROWTH activities including training events, webinars, outreach and convenings.

Successful candidates will demonstrate experience in supporting complex projects with multiple, simultaneous activities, and have a positive attitude. The ideal candidate has experience or is passionate about democracy, human rights, governance, adult learning, learning technology, and leadership development.

This position is based at the EnCompass headquarters in Silver Spring, Maryland, working a hybrid work schedule. The Project Assistant may be required to work from the client site in the Washington, DC metro area, 1 to 2 days per week. In this role, the Project Assistant may attend events in-person as required by USAID DRG Bureau or EnCompass.

Position Duties and Responsibilities

Essential functions:

  • Support GROWTH project coordination and operations, including scheduling and preparing for meetings, taking notes during meetings, and other activity processes
  • Setup and maintain project tools to ensure timely delivery of tasks according to the defined timeline
  • Support the production of project deliverables. This may include writing, editing, formatting, proofreading of Production Guides, and/or producing various virtual services in support of deliverable quality.
  • Provide procurement and logistical support for training, webinars and convenings (supporting contracts, stuffing folders, organizing the Google Drive, room set up, order refreshments, etc.)
  • Assist with formatting, quality checking and printing training and convening materials?(including trainer guide, handouts and sign-in sheets, etc.)?and other internal GROWTH-related materials?(i.e., activity tracker, job aid, etc.)
  • Support effective and ongoing communication among team members and collaborators including scheduling meetings, taking notes, etc.
  • Support GROWTH documentation and knowledge management maintenance and organization
  • Work within clearly defined standard operating procedures and adhere to quality guidelines Engage fully as a member of the EnCompass staff team, including participating in staff meetings and other EnCompass events
  • Perform other duties as required

Qualifications

Academic Qualifications

  • Minimum of a High School Diploma and 3 years of office experience or Associate’s Degree and 2 years of experience or Bachelor’s degree and 1 year of experience

Experience and Skills

  • Exceptional organizational skills and attention to detail
  • Ability to organize, prioritize and follow through on multiple tasks in a fast-paced, deadline-oriented environment
  • Excellent verbal and written English language skills
  • Proficiency in Microsoft Office applications, particularly Word, Excel, and PowerPoint, and Google Suite
  • Strong work ethic and the ability to work independently and as part of a team
  • Outstanding interpersonal skills and ability to interact with team members at all levels
  • Ability to work in an environment committed to appreciative, strengths-based approaches
  • Interest in working in international development and/or learning and leadership development

The pay range for this role allows for the wide variety of factors that are considered in making compensation decisions including, but not limited to skill sets, experience and training, certifications, and other business and organizational needs. At EnCompass, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range is $49,000 – $52,000.
