Job Title: Project Assistant, GH-TAMS

Department/Location: ISPI – GH-TAMS, Washington, DC

Reports To: Project Manager

Type: Regular Full-Time

Classification: Non-exempt

Overview: IBTCI is seeking a Project Assistant to work with the Global Health Technical Assistance and Mission Support (GH-TAMS) project in Washington, DC. GH-TAMS, a five-year contract funded by the United States Agency for International Development (USAID), will provide USAID operating units working on health-related activities in headquarters and the field with access to high-quality technical, management, and USAID expertise to support health programs. GH-TAMS will assist GH and missions with this expertise through short- and medium-term consultant services, supporting USAID’s global health strategic priorities: 1) Preventing child and maternal deaths; 2) Controlling the HIV/AIDS epidemic; and 3) Combating infectious diseases.

Responsibilities

Essential Duties/Tasks and Responsibilities:

  • Update and search project databases;
  • Create, maintain, and upset consultant and assignment files;
  • Facilitate administrative closeout and write assignment summaries;
  • Manage project inventory;
  • Assist and arrange travel logistics (flights, hotel reservations, travel insurance, and visas for traveling consultants);
  • Conduct employment history verifications and reference checks;
  • Assist with recruitment in drafting and listing ads online, monitor recruitment applications, and follow-up with candidates;
  • Provide administrative support to staff and consultants throughout their assignments (reviewing invoices, obtaining travel advances, etc.)
  • In addition, as time permits, there may be opportunities for the project assistant to work closely with Project Managers in managing assignments

Qualifications

Minimum Requirements:

  • One to three years in international development or project management
  • Outstanding written and oral communication skills
  • Excellent interpersonal skills
  • Well-organized, attentive to detail, skills in setting priorities and meeting deadlines, and able to handle multiple tasks simultaneously
  • Works well independently and in terms; pro-active in anticipating work requirements and problem solving
  • Mastery of Microsoft Office (spreadsheets, database use, and presentation software)
  • Written and verbal fluency in English required; other foreign languages fluency is desirable

Preferred Knowledge, Skills and Abilities:

  • Experience and/or familiarity with USAID-funded projects
  • Previous administrative experience, preferable with a USAID-funded project

Education: Bachelor’s Degree required, Master of Arts of Master of Public Health preferred.

Working Environment: Work is typically performed in an office environment. Currently the company is allowing for remote work due to COVID 19 in the District of Columbia, Maryland and Virginia (DMV) area. This can be updated by the company.

Physical Requirements: This is largely a sedentary position that requires the ability to speak, hear, see, and lift small objects up to 20 lbs.

Travel: This position does not require travel.
