Job Purpose

Under the supervision of District Coordinator, The Project Assistant will support the implementation of activities of assigned projects. S/He will assist in ensuring the smooth implementation of projects in NWS. S/He will ensure supporting the direct supervisor with all facilitation required to follow-up, monitor and implement the activities of the project. S/He will provide among other duties the assistance in CASH and Voucher component; preparing the master lists, assessing the need, following up on the distribution of the vouchers, and ensuring full documentation are in place in a timely manner. Regular field visits, completing checklists and preparing periodical reports are required for this position.

Major Responsibilities

1. Operational

  • Under the supervision of District Coordinator and support from MEAL team, the project assistant will help in conducting need assessments in the local community as required by the supervisor to ensure that WVSR programming meets the need of the most vulnerable communities.
  • Assist in preparing the work plans, the mobilization tools, the monitoring tools and any other supporting documents to ensure smooth implementation as per required by the supervisor.
  • Assist in ensuring day-to-day follow-up on the work progress of the projects within all the targeted communities through maintaining effective and regular communication channels with the related stakeholders of the projects.
  • Assist in Cash Vouchers Distribution to the beneficiaries of project by preparing the master lists of the BNFs, assessing the need, verifying the eligibility criteria, preparing the distribution plans, ensuring the delivery of the vouchers to the BNFs and that all the related documents are completed and in place in a timely manner.
  • Providing support to the project team in planning the procurements, submitting appropriate procurement requests, completing the purchase orders and regularly monitoring the eligibility and efficiency of consumption rates of the procured items for the project.
  • Conduct field/on-site visits to the projects locations and the communities targeted by the project to ensure prompt follow-up and monitoring of the implementation.

2. Coordination

  • Participating in periodic meetings with the project team to provide needed data for reporting on the completed activities and update the grant reports whenever requested.

3. Reporting

  • On a regular basis, provide the supervisor with progress/achievement reports related to the implementation of the projects and the tasks of the project assistant.
  • In a timely manner, highlight, identify, raise and follow up on any irregularities, red flags or risks that may affect the implementation of the project activities.
  • Assisting the supervisor and the project team to ensure full documentation and that all needed documents are reviewed, validated and archived as soft and hard copies.
  • support in preparing accurate forecasting and expenses reports by assisting in reviewing and validating project expenses.
  • Any other duties or responsibilities may be required by the direct supervisor in the scope of work.

Knowledge/Qualifications for the Role

1. Required Professional Experience

  • At least 1 year in project’s implementation in NGOs sector
  • At least 2 years of experience with humanitarian aid work and NGOs.

2. Required Education, Training, License, Registration, and Certification

  • Bachelor or diploma in Business Management, social studies or any related
  • Cultural sensitivity and adaptability;
  • Ability to use a computer, with word-processing and spreadsheets, (e.g. Microsoft Office),
  • Experience with data collection tools (Kobo tool box)

3. Preferred Knowledge and Qualifications

  • PMD Pro 1,
  • PMD Pro 2 preferable

4. Travel and/or Work Environment Requirement

  • Ability to travel across working area (NWS) regularly for training, assessment, regular monitoring and evaluation

5. Physical Requirements

  • Ability to maintain performance expectations in diverse cultural contexts, psychologically stressful environment and physical hardships

6. Language Requirements

  • Strong Arabic and basic English communication skills (oral and written)
