Position within the Organization

The Programme Support Officer is a member of the Programme Management Unit which manages and implements all of Interpeace’s active and ongoing programmes around the world. The Programme Management Unit is led from the Headquarters office in Geneva, although team members are based in various locations including in East and Central Africa, West Africa, Europe and the MENA region. The Programme Support Officer reports to the Great Lakes Programme Manager and works closely with the M&E office, the Great Lakes Regional Representative, and the finance and admin manager.

Purpose and General Overview

The Programme Support Officer supports the design, day-to-day planning, and implementation of the Interpeace Great Lakes programme, particularly the YouthLab Project and the Great Lakes Cross-border Dialogue project. S/he assists all areas of programme implementation as directed by the Programme Manager.

Duties and responsibilities

Programme Management and Development

  • Assists in the planning, implementation, monitoring and evaluation of the Great Lakes programme, including the elaboration of project related documents (such as activity plans, activity requests, activity reports, audio-visual documentation of projects, external events, etc.)
  • Assists with the review of the programme documents (research reports, annual narrative reports, training and conference materials…) developed by Interpeace or by the programme partners,
  • Assists local partners in the planning, implementation, monitoring and evaluation of project activities,
  • Assists the Programme Manager and Programme Team in logistics preparations and reporting,
  • Contributes to the development of the programme’s yearly objectives and work plan.
  • Assists in the drafting of internal, monthly and annual reports.

Management – institutional coherence

  • Assists in drafting outgoing correspondences, concept notes and Terms of References,
  • Prepares minutes for programme’s meetings,
  • Drafts monthly updates of the Great Lakes programme based on the reports received from local partners,
  • Liaises with the Communication Team in preparing social media contents, success stories and web stories that capture key programme outputs and outcomes,
  • Schedules and maintains the Team meetings calendar as guided by the Programme Manager,
  • Provides additional support to the Interpeace Great Lakes team as called upon,
  • Contributes to the programme and the organisation’s learning activities/processes.

Representation

  • Focuses on Track 3, by supporting the Programme Team in maintaining working level relationship with local project partners and donors,
  • Schedules and maintains the meetings calendar with donors and programme partners.

Qualifications:

Candidates with relevant qualifications, experience, a tertiary degree, and fluent in both English and French, are invited to apply.

Relevant experience and qualifications may include:

Education

  • Tertiary degree in peace-related studies, Administration, Project Management, social or development studies or other relevant fields;
  • Demonstrated experience in peacebuilding, political and/or developmental work;
  • Experience and ability to work successfully as part of a diverse and multicultural team, integrating a gender perspective into tasks and activities, and
  • Proven capacity to collaborate effectively with a range of internal and external stakeholders.

Competencies

  • Understanding of current thinking on peacebuilding issues and methods and demonstrable ability to anticipate emerging needs and integrate them into priority programme setting;
  • Organizational and planning skills;
  • Basic knowledge of project cycle management including of project planning and management tools;
  • Knowledge of Kinyarwanda, Kiswahili, Kirundi and/or Luganda would be an asset;
  • Advanced speaking, writing and communications skills in both English and French is required.
