Role & Responsibilities

Work under the supervision of the International Programme (IP) Director and in a functional relationship with the various Heads of Country Programmes to support Medair’s work in the field. Your role will provide flexible and timely support to the Heads of Country Programmes in donor proposal / report compilation and submission, and initiatives related to the IP team strategy, as well as supporting the Senior Roving Programme Funding Manager during periods of peak demand. You will work in close coordination with the Heads of Country Programmes, Engagement Team and Affiliate Office private fundraisers, Senior Roving Programme Funding Manager and International programmes Assistant.

Project Overview

Medair Global Support Office (GSO) provides operational guidance for country programmes, along with both technical and compassionate support for our relief workers. Within our headquarters and affiliate offices, we are also responsible for promoting the work of Medair to the world, raising and managing the funds needed to run our life-saving and sustaining programmes, and recruiting international and GSO staff.

Medair’s International Programmes team oversees and supports all the Medair country programmes, as well as providing technical sectoral expertise, MEAL advice, security advice and Global Emergency Response Team (GERT) capacity.

February 2023. From 50%, 12 months, minimum 18-year-old required.

Key Activity Areas

Support to Heads of Country Programmes

  • With tracking, coordination and compilation of private funding proposals and reports, including liaising with in country Comms Managers, PFMs, Engagement Team and Affiliate Offices as required.
  • Coordinate with Finance and Engagement teams the key inputs and preparations for the Quarterly FORT meetings to maximise the meetings effectiveness.
  • Compilation and review of institutional donor submission packages, and reporting, checking for compliance with donor requirements and guidelines.
  • With upload of donor reports and proposals to online donor systems (notably ART file upload for BHA reporting).
  • With progressing their additional global focus areas related to the IP team strategy – i.e. working groups and initiatives.
  • Compilation of presentations (e.g. for donor visits) or documents (e.g. Country Strategic Plan summary sheets).
  • With gathering KPI data and review of Annual Report numbers.
  • Through provision of administrative, email and communications support to the Heads of Country Programmes – in particular dealing with emails in their absence.
  • Support induction planning for new country programme staff, keeping the documents in IP Induction folders up to date, accurate and appropriate.
  • Maintain and introduce where necessary, streamlined administrative processes to enable the team to function efficiently and effectively in all administration tasks.
  • Provide support capacity where needed and as prioritised by the IPD, working in close coordination with Head of Country Programmes (HCPs), GERT, Security Advisors and Sector Advisor Team Leads.

Support to International Programmes Director

  • Cover for the International Programmes Assistant during period of leave.
  • Take meeting minutes with International Programmes Department, COVID Taskforce, CD group etc. Follow up with people on action points.
  • Collate feedback from CDs and International Programmes on various policy and process revisions.

Extra Country-Specific Support

  • Support special requests for support from specific country programmes as approved by Heads of Country Programmes. Facilitate notarizing of country documents or registration and visa applications, including Travel to Bern or Geneva.

Qualifications/ Experiences

  • University degree or equivalent in a relevant subject such as Management / Development Studies /International Relations/ Business Administration or in a relevant technical subject.
  • Post-graduate degree in the humanitarian sector, Data management or Leadership training desirable.
  • Excellent working knowledge of the English language (speaking and writing).
  • 1-year post-qualification experience in a position in a humanitarian organization (desirable).
  • Proven reporting, data and budget analysis experience (desirable).
  • Ability to prepare and analyse simple narrative and financial reports.
  • Advanced planning, assessment and analytical skills. Good report and proposal writing skills.
  • Specific experience of institutional donor submission portals would be an asset
  • Experience working with Sphere and CHS standards
  • Knowledge of Humanitarian Essentials, Sphere, CHS and HAP Standards and other international humanitarian guidelines and protocols.
  • Good networking, advocacy and negotiation skills. Committed to consultative and servant leadership.
  • Excellent communication skills. Strong Christian commitment.
  • Self-motivated, energetic, proactive, hard-working, servant-hearted. Well-organised.
  • Capacity to work under pressure, with short deadlines and manage personal stress levels.
