JOB PURPOSE

As Programme Assistant to the Crisis Response Programme at Amnesty International, you will play an essential role in enabling the team to respond to crises around the globe. You will assist the Programme Director and the wider team by providing administrative support that ensures the efficient running of the programme and smooth communication within the team. You will assist in supporting the operational management of the programme, including but not limited to financial processing, facilitating interdepartmental collaboration, and servicing regular team meetings.

ABOUT YOU

The role would suit a person who is highly organised, comfortable with multitasking, with great communications skills. You will need to take the initiative, solve problems, adjust priorities as needed, provide constructive input, and manage a workload with competing deadlines. You will ideally have an understanding of and commitment to human rights issues and the ability to gather and process human rights-related information/material. Competence in Arabic, French or Spanish would be an asset but not required.

MAIN RESPONSIBILITIES

  • Manage aspects of the Director’s complex and variable diary: ensure a regularly updated, well-organised and accessible schedule.
  • Assist in the development, maintenance and clear operation of the crisis response systems, including by: arranging crisis meetings; support in preparation of crisis missions, including booking flights and accommodations as needed, preparing expense claims; maintenance of technical equipment; and updating relevant security information as required.
  • Maintain a detailed understanding of IS financial procedures; deal with expense reports and process payments and invoices. Liaise with Accounts Payable team to make sure that payments are processed on time.
  • Assist with the preparation of project budgets and forecasts; monitor restricted funds; obtain and review regular reports on expenditure and other agreed management information from the Finance Programme.
  • Support the Programme for contracts, MOUs and NDAs with external consultants and freelancers. Ensure that contracts are clear, reflect terms of work as agreed and are signed.

SKILLS AND EXPERIENCE

  • Proven experience of administering a programme, organising and coordinating international travels and meetings.
  • Ability to manage own work plan and to make recommendations to the Programme Director/Programme Coordinator on administrative improvements.
  • Proven experience of working with budgets and ideally with restricted funds and ability to identify budget problems and work with the Coordinator to solve them.
  • Knowledge and practice of budget maintenance systems, financial resources management and record keeping.
  • Ability to communicate clearly, concisely and diplomatically in English.
