About WSUP Advisory

WSUP Advisory CIC is the consultancy arm and a wholly owned subsidiary of Water and Sanitation for the Urban Poor (WSUP. We help improve water and sanitation in some of the poorest and most challenging cities in the world. Currently we are delivering projects in Uganda, Ethiopia, Kenya, Zambia, India and Cambodia.

We work with municipalities, utilities and independent service providers to tackle the challenges of rapid urbanisation and improve life for millions of people. We do this by helping service providers develop sustainable business models suited to low-income customers. We also support local and national governments and regulators to create favourable operating conditions for these service providers.

We support and advise international finance institutions, international agencies and non-government institutions, corporations and foundations in investing in, or supporting water and sanitation services.

What we are looking for

As Programme Administrator, you will work as a core member of the WSUP Advisory team which delivers projects and pursues consultancy opportunities in urban WASH. Reporting to the MD, you will provide a wide range of project and administration support.

What you will be doing

1. Supporting the delivery of projects

  • Organise and take records of project meetings.
  • Support project managers with project reporting.
  • Liaise with consultants regarding contracts and invoices.
  • Manage documents in WSUP’s online document management system.
  • Support proposals preparation.
  • Project mobilisation and logistics –book travel arrangements for staff and consultants, liaise with travel agents and prepare visa application documents.

2. Undertaking essential administrative tasks

  • Update news and information on the WSUP website and social media
  • Manage diaries, arrange internal and external meetings and meeting logistics.
  • Organise and prepare agenda and presentations for quarterly Board and Steering Group meetings
  • Take and produce notes and minutes at internal meetings and follow up on all agreed actions.
  • Research stakeholders and organise stakeholder meetings for conferences, events and international marketing visits

3. Supporting WSUP’s finance team

  • Manage consultant and supplier invoices
  • Coordinate timely submission of timesheets and expense claims
  • Handle invoice and remittance queries from consultants and suppliers.
  • Maintaining commitment register

4. Provide support to human resources management

  • Administer the Consultants Databases and support the consultant recruitment for projects.
  • Ensure that CVs are regularly updated.
  • Support WSUP HR in recruitment of Advisory staff.
  • Organise and administer candidate interviews.
  • Support maintenance of up-to-date staff records.
