Programme Administrator 15.66ph plus Hol Pay Central London

Start 21 st March 2022 to end of July 2022 initially

Hybrid role two days campus based, three days remote

We are recruiting for an experienced Programme Administrator to join one of London’s leading Universities. If you have previous experience gained within a Higher Education institute , we’d love to hear from you!

Key Responsibilities

Student Administration

  • First point of contact for students in person and by email. Includes shared management of the general student enquiry email account;
  • Support the preparation and delivery of UG/PG induction events;
  • Liaise with course tutors and ensure course Moodle pages are correct and up-to-date;
  • Record, maintain and report student data as required including processing and recording interruptions, deferrals and withdrawals from postgraduate programmes;
  • Oversee the Attendance Monitoring process within the Department and manage the Points of Engagement information returned by the Department at key points in the academic year.
  • Support in timetable preparation including liaising with academic staff and administrative colleagues, data entry as well as on-going timetable arrangements, including re-scheduling cancelled classes and relocating modules within appropriate teaching space;
  • Support the Programme Manager in exam board preparation including requesting and formatting assessment questions, collating marks and assessment for circulation to external examiners, and attending the end of year postgraduate Exam Boards;
  • Appointment and training of postgraduate Student Academic Representatives.
  • Act as secretary to relevant teaching committee(s) including managing and being an active member of the Committee, preparing agendas, minute taking at meetings, following up action points and making other arrangements as required;

Assessments

  • Manage student assessment across all programmes.
  • Monitoring essay submissions, collating and returning essays to deadlines;
  • Accurately log late submitted coursework and provide advice on the extenuating circumstances scheme as appropriate;
  • Communicating with and collating marks from first/second markers;
  • Administering Turnitin accounts, the Department’s plagiarism detections software;
  • Managing requests for extensions to essay deadlines;
  • Administer the processes for Postgraduate Extenuating Circumstances within the Department, working closely with the Masters Tutor, including:
  • Maintain records of Extenuating Circumstances
  • Provide support and advice to Extenuating Circumstances panels

PERSONAL SPECIFICATION

  • Evidence of excellent administrative skills and a highly proactive approach to providing a comprehensive support service including providing a student/customer service.
  • Demonstrable ability to develop, maintain and review administrative systems and procedures.
  • Demonstrable ability to manage multiple deadlines, exercise time management skills and manage high volumes of work/data.
  • Advanced level of numeracy and the ability to accurately work with numerical data.
  • Ability to exercise initiative and work independently.
  • Evidence of a high degree of accuracy in your work and the ability to pay close attention to detail consistently.
  • Evidence of excellent verbal and written communication skills.
  • Demonstrable ability to work with confidential information with diplomacy and tact.
  • Evidence of excellent IT skills, including knowledge of Excel, Word, database packages, web browsers and email packages, with a willingness to learn new software.
  • Experience of providing comprehensive and proactive administrative support including providing excellent student/customer service.
  • Experience of managing multiple deadlines, exercising time management skills and managing high volumes of work/data without direct supervision.
  • Experience of working within a teaching administration role within a Higher Education Institution.
  • Experience of providing high level support to students and dealing directly with student enquiries.
  • Experience of servicing committees with complex organisation.
  • Experience of student data systems such as PORTICO, CMIS, Moodle, Turnitin.
