Overview of position:

  • CTG is looking to hire an experienced Program Manager, based in our Dubai office. If your experience matches the below TOR, please do apply for this role.

General:

  • Lead & manage the continuous improvement of CTG’s IT systems including but not limited to Tayo, O365 (SharePoint & Teams), Helpdesk Management, CRM, chatbot / live chat, etc.
  • Assess, evaluate & overcome program risks. Conduct weekly program meetings & monthly program reviews for the leadership team & cross functional stakeholders.
  • Develop an innovative / customer centric strategy to enhance positive client & consultants’ lifecycle experience from recruitment to onboarding, induction, duty of care, payroll, etc. Bring in automation of the standard manual processes to reduce human error & promote process efficiency.
  • Provides expertise to CTG’s digitalisation related projects & leads in engaging cross functional teams on process optimisation opportunities (eg. payslip, procurement, COO, Helpdesk, etc.).
  • Ensure change management plan dependencies (eg user adoption / engagement, business continuity, readiness, change risks / impact, etc.) are understood by all stakeholders / process owners & managed accordingly.
  • Co creator of new digital transformation projects, developing new ideas & methods to streamline current processes.
  • Develop a culture of continuous improvement & lean thinking.

Tayo 2.0:

  • End to end responsibility for effective & timely implementation of Tayo’s new & pending functionalities including but not limited to process specification gathering, process / UI design, user permissions / access rights, training, documentation & implementation.
  • Work closely with Longport & the Business Transformation Manager to continuously look at opportunities to improve Tayo. Creating a world class web & mobile applications.
  • Work cross functionally to identify challenges / issues & build best practices & process improvements that help improve the efficiency of Tayo. Making it a more intuitive & user friendly (UI / UX) system.
  • Ensure the data quality, privacy & security of Tayo. Lead the quarterly data integrity audit with the nominated Auditor.
  • Run a quarterly feedback survey from Tayo end users to identify Tayo’s strengths & understand end users pain points.
  • Develop Tayo’s implementation plan & ensure everyone is using the system. Work with FLO team in developing a process around a standard approach to onboarding & managing staff. Create different tracks for different users (eg tech savvy users, non tech, non English speakers, etc.).

Monitoring & timeline:

  • Preparing the project implementation plan. Proactively monitoring its progress, timelines, deliverables & expenses against budget.
  • Ensure project delivery in a timely manner & effectively communicate any changes in the requirements.
  • Resolving issues & initiating appropriate corrective action.
  • Identify, monitor & manage the overall project costs, dependencies & critical path. Present each project’s budget requirements & recommend sub sequent budget changes where necessary.
  • Ensure the delivery of new functionalities or services from projects is to the appropriate level of quality, on time & within budget, in accordance with the program plan.
  • Responsible for setting budgets for individual projects across the organisation & managing controls for the same.
  • Ensuring that the project budgets set are not exceeded & manages all projects within the allocated budget.
  • Responsible for getting required approvals whenever budgets are exceeded by the respective project & providing necessary justification on reasons for exceeding budget.

Documentation & training:

  • Manage & maintain project documentation such as technical specifications, project plan of execution, progress reports, user manuals / videos & other documentation & presentations.
  • Develop best practices & tools for project execution & management.
  • Conducts feedback reviews to address areas of strength & improvement & prepares training for necessary objectives.
  • Develop program KPI assessment frameworks with clear planning, tracking & reporting on progress.

Project reporting

  • This role reports to the Business Transformation Manager.

Key competencies:

  • Bachelor’s Degree in Information Technology, or related field. Knowledge of Python programming language in the Odoo framework is an advantage.
  • Project Management Certification & advanced experience in IT Project Management & Agile Project Management / Scrum Master / Product Owner.
  • Experience in creative / innovative systems thinking & problem-solving.
  • Proven 3+ years of project management experience. Able to learn, understand & apply new technologies.
  • Expertise in Microsoft packages, including Project, PowerPoint, Word & Excel.
  • Analytical, detail oriented, possess strong statistical skills & inherently curious.
  • Excellent communication & interpersonal skills (oral & written) & ability to deal effectively & confidently with people at all levels, internally & externally, worldwide.
  • Able to effectively prioritize & execute tasks in a high pressure environment & quickly assess & act on changing priorities.
  • Passion for analyzing & critiquing data sets & have a high understanding of data quality.
  • Results oriented with a strong drive to accomplish objectives & meet high standards.
  • Self motivated & driven to achieve deliverables, ability to multitask a variety of projects with significant customer impact.
  • Able to obtain cooperation from a wide variety of sources, including senior management, suppliers / partners & other departments.
  • Effective & collaborative leadership skills with a focus on guiding diverse groups (e.g., cultural, geographical, functional) to achieve excellent results in shared goals.
  • Experience initiating & supporting continuous improvement activities with a ‘how can I help’ attitude.

Team management:

  • Team management experience is desired for this role.
